Summary

Site Coordinator position is a multi-functional role that supports site purchasing activities with additional responsibility of front office coordination, documentation and data support for the facility, and other roles as determined by the direct manager.  The primary role will focus on purchasing and will involve entering purchase orders for required raw materials, equipment, and supplies then work with vendors to receive these materials timely, accurately, and at agreed upon price.  The Site Coordinator will work with plant management, corporate purchasing/supply chain functions and will coordinate with other facilities across Synsus in our planning and execution to meet customer needs and company goals.

 

Essential Duties and Responsibilities

  • Prepares Purchase Orders for raw materials and equipment approved for purchase and procures sites MRO supplies which often include but are not limited to plant supplies, office, janitorial, break room, and work-related equipment/handling supplies. Codes and submits invoices for payment
  • Assists Finance with respect to inventory adjustments within the ERP system.
  • Assists and/or performs the data entry and closure of batch sheets within the ERP system.
  • Assists with printing of labels when necessary.
  • Assists and/or performs the printing batch sheets from the ERP system for production.
  • Coordinate procurement information for Capital Projects.
  • Assist as needed with the audit inventory monitoring stock records and compiling evaluation reports.
  • Maintain, organize, and archive production records.
  • Coordinates meetings and events for internal and external groups (scheduling, catering, room setup, etc.)
  • Facilitates and/or schedules facility or system repair requests as required. Maintains the site security system which includes ensuring badge access and related security equipment (cameras, fire alarms, sprinklers) are operational and related system documentation is current. Maintains a security access log which often includes maintaining alarm codes, key issuance, safe access, and specific access privileges.
  • Performs general administrative duties such as mailing/shipping of materials
  • Maintains records, verifies the accuracy, and generates miscellaneous reports. Performs a variety of clerical duties to assist in supporting the facility and employees.
  • Maintains records and documentation within the Engineering and Manufacturing site needs
  • Provides backup coverage for other Admins as required and other duties as assigned.
  • Always maintain a clean and safe work environment.
  • Any other duties assigned

Qualifications:

  • Must possess a helpful, friendly, and upbeat attitude.
  • Working knowledge and experience working with Microsoft Office tools
  • Prior experience in a work environment performing data entry within an ERP system, administrative, clerical, and receptionist duties.
  • Handles sensitive information in a confidential manner.
  • Manufacturing and Purchasing Environment experience preferred

 

Education/Experience

  • High school diploma or GED
  • 2 years of education beyond high school in college or technical school preferred
  • Knowledge acquired through 1 to up to 3 years of similar work experience.
