The listed minimum pay reflects compensation for a full-time equivalent (1.0 FTE) position. Actual compensation may differ depending on assigned hours and position status (e.g., part-time).

Position Overview

The Foundation Operations Manager is responsible for overseeing and managing the daily operations of the foundation, ensuring the efficient execution of programs, administrative tasks, and support services. This role requires a detail-oriented, proactive, and organized individual capable of managing multiple tasks, supporting staff, and ensuring compliance with foundation policies and legal regulations. The Operations Manager will also play a key role in managing budgets, coordinating events, and streamlining processes to improve overall organizational effectiveness.

 

Key Responsibilities:

1. Operational Management:

      •   Oversee and improve day-to-day operational processes to ensure smooth and efficient functioning of the foundation.

      •   Develop and implement operational policies and procedures.

      •   Ensure the foundation adheres to all legal, financial, and regulatory requirements.

2. Program Support and Coordination:

      •   Work closely with program managers to coordinate and support the delivery of foundation programs and initiatives.

      •   Track program performance and assist in evaluating their success, ensuring alignment with the foundation’s goals.

3. Financial and Budget Management:

      •   Assist with the preparation and monitoring of annual budgets, ensuring appropriate allocation of resources.

      •   Oversee financial processes, including expense reporting, billing, and reconciliation.

      •   Work with accounting teams to ensure timely and accurate financial reporting.

4. Staff and Volunteer Management:

      •   Supervise a team of administrative staff and volunteers, providing guidance and support as needed.

      •   Coordinate recruitment, training, and development for staff and volunteers.

      •   Foster a positive and collaborative work environment.

5. Event Planning and Logistics:

      •   Plan, coordinate, and execute fundraising events, conferences, and donor meetings.

      •   Ensure all logistics (e.g., venue, catering, technology) are properly arranged and meet the needs of the event.

6. Communication and Reporting:

      •   Serve as the point of contact for internal and external stakeholders, including donors, volunteers, and program participants.

      •   Prepare regular operational reports for the board and senior leadership.

      •   Develop and maintain effective communication channels with stakeholders, ensuring transparency and engagement.

7. Technology and Systems Management:

      •   Oversee the foundation’s operational software and tools, ensuring data integrity and security.

      •   Implement technology solutions that improve efficiency and support program management.

8. Strategic Planning and Process Improvement:

      •   Collaborate with senior leadership to develop and implement strategic initiatives for the foundation’s growth and sustainability.

      •   Identify areas for process improvements and implement solutions to enhance operational efficiency.
