About the Department

EMPLOYMENT TERMS: Full-time, 12 months

PRIMARY DUTY: This position will be primarily responsible for the office management duties to support the Associate Provost of Enrollment and Student Success, Associate Provost of Academic Operations and Assessment, Assistant Vice President of Global Engagement, Assistant Vice President of Marketing & Communications, and Associate Provost of Graduate and Professional Studies.

Position Duties

ESSENTIAL FUNCTIONS:

1. Manage administrative calendars, schedules, and appointments

2. Track, maintain & reconcile the budgets for each unit

3. Manage credit card expense reports

4. Drafts and edits correspondence, reports, and other documents as directed

5. Responsible for producing and maintaining confidential records and information

6. Organizing and managing information collection in a network environment

7. Collaborate and assist with academic schedule edit review

8. Provides customer service for faculty, staff, and students as needed

9. Add agreements and contracts into Northwest’s contract management system

10. Prepare letters, reports, forms, and other materials

11. Maintains spreadsheets for the tracking and communication of various types of information

12. Process University paperwork including direct pay vouchers, travel vouchers, purchase requisitions, etc

13. Assist administrative staff with other duties as assigned

Minimum Qualifications

REQUIREMENTS:

Education: High school diploma

Experience: Computer experience in Microsoft Office, including Word, Excel, and Teams; experience in budgets, financial information, and spreadsheets; at least one year of experience working in an office environment

Skills: Accuracy in spelling and grammar; good customer service skills; good communication skills; good organizational skills; ability to multi-task and delegate work; flexibility

Other Qualifications

WORKING CONDITIONS: This position will work in an office environment from the hours of 8:00 a.m. to 5:00 p.m. with a one-hour lunch break.

SUPERVISORY RESPONSIBILITIES: Requires minimal supervision; supervision of student employees as needed.

EQUIPMENT/MATERIALS USED: Standard office equipment including telephone, copy machine, personal computer

TYPICAL PHYSICAL DEMANDS: Ability to lift up to 20 pounds
