SUPERVISOR: Chief Operating Officer (COO) STATUS: EXEMPT

 

POSITIONS SUPERVISED: Facilities and Security Staff

 

POSITION SUMMARY: The Director of Operations oversees operational efficiency and effectiveness across all three sites of Esperanza Health Center. Responsibilities include planning, communication, facilitation, oversight, and coordination of preventive maintenance, repairs, improvements, renovations, new construction, and presentation of all buildings and grounds. The role also leads the security department in developing its structure, planning strategically, and managing shifts, ensuring effective and efficient deployment. Policies and protocols are reviewed and developed to maintain a safe and secure environment. Additionally, this role will also provide leadership in the operation of Esperanza’s 340B program.  This position provides strategic and operational leadership in facilities management, security, and budget oversight to ensure seamless daily operations aligning with Esperanza’s mission of delivering compassionate care.

 

ESSENTIAL FUNCTIONS

 

Operations Management

  • Oversee day-to-day operations across all sites, ensuring alignment with organizational goals and standards.
  • Develop and implement systems and processes to enhance operational efficiency and effectiveness.
  • Lead and coordinate cross-site operational projects and initiatives.
  • Provide strategic oversight of facilities management, including maintenance, repairs, renovations, and vendor management.
  • Supervise security operations to ensure a safe environment for staff, patients, and visitors.
  • Develop and manage emergency preparedness plans and protocols.
  • Act as an Essential Employee for emergency operations affecting site management. Available 24/7 for related incidents.

 

Facilities and Security Leadership

  • Provide strategic oversight of facilities management, including maintenance, repairs, renovations, and vendor management.
  • Collaborates with the COO and external contractors/vendors on all construction/renovation projects.
  • Administers, plans and directs service contracts such as landscaping, custodial, plumbing, electrical, mechanical, pest control, generators, fire, life safety, work order management system, snow removal operations, and other related functions. 
  • Works closely with state and local inspectors on all renovations and new construction requirements, fire code requirements, elevator inspections, and fire hydrant testing.
  • Manages the daily operations of facilities and programs, including staff, contractors, and vendors.
  • Provides oversight and leadership for the Public Safety functions, including security and emergency management for all locations
  • Coordinates overall safety in partnership with the Associate Director of Operations and local authorities having jurisdiction to ensure that safety is addressed comprehensively and strategically. 
  • Leads, plans, organizes, and directs the administrative and operational functions and activities of the Security, which include physical security, investigations, and emergency preparedness. 
  • Ensures enforcement of all regulations, policies, and procedures essential to a safe and secure operation.
  • Supervise security operations to ensure a safe environment for staff, patients, and visitors.
  • Develop and manage emergency preparedness plans and protocols.

 

340B Program Management

  • Serve as primary internal and external program coordinator and liaison for all 340B-related

matters

  • Serve as primary liaison to key stakeholders to help ensure appropriate utilization

of the 340B Program and compliance with all program requirements.  Including serving as Esperanza’s representative in all matters related to the smooth operation of our Right Choice, our outsourced Pharmacy vendor.

  • Act as the liaison with necessary affiliated departments to ensure 340B Program integrity.
  • Help lead and assist the organization’s 340B program, which includes representation from

pharmacy, legal, compliance, finance, and senior administration

  • Provide expertise with the 340B Program to staff and participants regarding ongoing

compliance

  • Develops and maintains internal relationships (accounting, legal, national) and external

relationships (wholesalers, manufacturers, contract pharmacies, split-billing software

vendors, employee benefit pharmacy benefits managers (PBMs), and third-party administrators (TPAs) as needed

  • Actively engages with senior leadership and participates in decision-making processes

related to the implementation of new 340B processes

Budget Oversight

  • Work closely with the COO and Finance team to develop and manage operational budgets for facilities and security.
  • Collaborate with Grants Management to monitor grants that impact the infrastructure of sites, ensuring compliance with grant requirements and optimal utilization of funds.
  • Monitor expenses and provide recommendations for cost-saving initiatives.
  • Prepare and present reports on operational performance and budget utilization to the executive team.

Team Leadership

  • Manage and mentor operational staff, fostering a collaborative and performance-driven culture.
  • Provide regular feedback, training, and development opportunities to team members.
  • Ensure compliance with all organizational policies, regulatory standards, and best practices.

 

EDUCATION, KNOWLEDGE, SKILLS, AND QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Operations Management, Healthcare Administration, or a related field. 
  • 5+ years of experience in operations leadership, preferably in a healthcare or nonprofit setting.
  • Proven ability to oversee multi-site operations and manage diverse teams.
  • Strong knowledge of facilities management, security protocols, and budget planning.
  • Excellent problem-solving, communication, and organizational skills.
  • Solid interpersonal and communication skills. Must communicate warmth and be able to put people at ease.  
  • Ability to remain calm under pressure.
  • Demonstrated ability to handle many details and multiple priorities.  Must show the ability to organize, process, and verify details.
  • Must have a solid record of handling confidential information and demonstrate trustworthiness and honesty in all transactions.  
  • Solid record of timeliness and reliability in a work setting.
  • Ability to integrate personal Christian faith with work.

WORKING CONDITIONS 

  • Ability to lift 10-20 pounds.
