Now Hiring: Referral and Diagnostic Coordinator
As a Referral and Diagnostic Coordinator at HealthFirst, you’ll play a critical role in ensuring patients receive timely access to specialty care and diagnostic services. From managing referral requests to scheduling appointments and verifying insurance coverage, your work behind the scenes directly impacts the patient experience. You’ll be part of a supportive, agile team that values collaboration, integrity, and service.

  • Builds relationships and communicates effectively with providers, patients, and insurance companies as appropriate.
  • Reviews and processes all diagnostic, specialty, and miscellaneous referral requests from providers using the Electronic Health Record within 3-5 business days.
  • Maintains the referral desktop in accordance with established procedures.
  • Tracks imaging appointments and updates the order in the Electronic Health Record      
  • Answers calls and return messages within 2 hours of receipt.
  • Demonstrates independent judgment and maintains complete confidentiality regarding patients’ medical information; adheres to HIPAA compliance.
  • Verifies insurance coverage and obtains necessary prior authorization when required. 
  • Provides the necessary medical records for referrals to be processed. 
  • Inputs referral data electronically as needed.
  • Follows up daily on outstanding orders or pending prior authorizations, updating the comment notes with current status.
  • Processes      the referral bucker in the EHR and follows up on in process referrals to ensure medical notes have been received back from specialists or facilities for diagnostic imaging.
  • Contacts patients by phone and/or written correspondence to communicate the status of the referrals or diagnostic orders.
  • Cross-covers at least one other job function or position with the HealthFirst team to promote teamwork and support an agile organization.

Requirements

EDUCATION/EXPERIENCE: High school diploma or equivalent. Previous office administration or receptionist experience or a minimum of one year work experience in a medical office setting.


SKILLS: Telephone etiquette, customer service, basic word and excel programs, time management, multi-tasking, organizational, clear and effective communication and able to prioritize.
