JOB TITLE SUMMARY

Job Title: Representative, Veterans Affairs (Part-Time)         

Division: Enrollment and Marketing

Evaluation Group: Staff

FLSA Status: Non-Exempt

Reports To: Manager, Veterans Affairs

Positions Supervised: N/A

Review of applications will begin on July 25th and will continue until the position is filled. The anticipated start date for the successful candidate is August 15th or later.

Job Summary

The veterans affairs representative assists with certifying student enrollments, communicates with students about their benefits/eligibility, supports maintenance of records and reports, and collaborates with University departments within and outside of Enrollment and Marketing. This position is part-time, working 20 hours per week.

Essential Job Functions and Performance Indicators

The intent of this job description is to provide a representation of the types of duties and level of responsibility that will be required of positions given this title. Job Responsibilities and Execution

  • Completes required School Certifying Official (SCO) training as required by the United States Department of Veterans Affairs (DVA); assists other SCOs
  • Stays up to date on veterans affairs rules, benefits, and the SCO handbook
  • Works with Veterans Affairs (VA) Center team to counsel student veterans on education benefits, other potential benefits, University programs offered by the DVA, and eligibility requirements
  • Assists student veterans with applying for education benefits
  • Maintains files on all military students at the institution with a focus on detailed record-keeping including, but not limited to, course schedules and supporting documents
  • Collaborates with Enrollment Management, Student Financial Services (SFS), and Academic Affairs teams through the student life cycle
  • Performs various office and administrative tasks, such as ordering and stocking forms and supplies
  • Supports subject matter experts in the VA Center; upholds all applicable federal, state, and institutional policies
  • Assists with annual academic report preparation for appropriate federal and state entities
  • Assists in the preparation of annual federal compliance audit and executes any needed corrective action plans
  •  Escalates issues as appropriate

Service Excellence

  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University’s values
  • Provides excellent customer service during interactions with students, faculty, staff, and alumni
  • Supports the student experience through frequent communication with internal and external stakeholders
  • Aids in the training of faculty and staff, maintaining best practices and compliance standards that support military students
  • Supports the Student Veterans Organization and student leaders as they promote engagement among the student population and community

Communication, Teamwork, and Collaboration

  • Serves as a liaison between the VA Center and campus partners, such as academic advisors, Student Academic Support Services (SASS), SCOs, SFS, Admissions, Accessibility and Disability Services, Reserve Officers’ Training Corp (ROTC) personnel, and administration
  • Assists in resolving military student issues
  • Collaborates with other campus entities and external stakeholders regarding military- and veterans-related events
  • Assist with developing and/or reviewing marketing materials related to military students including, but not limited to, digital, print and social media

Job may require other duties as assigned.

Required Qualifications – An equivalent combination of education, training, and experience will be considered. Additional requirements may be designated by position.

  • Bachelor’s degree or degree in progress with anticipated completion date
  • Experience working with veteran affairs preferred

Knowledge, Skills, and Abilities – May be representative, but not all-inclusive, of the knowledge, skills, and abilities necessary to perform this job competently.

  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
  • Familiarity with VA policies, procedures, and programs
  • Familiarity with the Family Educational Rights and Privacy Act (FERPA) regulations and privacy laws governing higher education
  • Excellent interpersonal, verbal, and written communication skills, including tact and diplomacy
  • Organizational and planning skills, including attention to detail and follow-through
  • Ability to maintain strict confidentiality of all records
  • Familiarity with the University’s student information system, Anthology, and other student support systems or processes
