Position:            File Maintenance Store Support Full-time (6 Month Contract)
 
Job Overview:
 
This position is responsible for ensuring efficient operations within the organization’s File Maintenance function. The primary liaison between in-store File Maintenance Team Members. This role is accountable for ensuring that data and processes are appropriately transmitted and executed at store level.
 
Accountabilities:
 
File Maintenance Clerk Support:
  •  Liaises with IT on program and system issues on behalf of FMC.
  • Coaching and accessing areas of opportunity on improvement and growth.
  • Communicates changes and provides training to procedures, policies and processes that impact the FMC role. Support FMCs through any transitions that may be required because of such changes.
  • Reports any FMC performance-related issues to the R.O.S.S
SMS and SMS PRO Experts
  •  Assumes role of in-store specialist of SMS Systems.
  • Ensures integrity of POS system data, running validity checks on the data base. Identifying excluded items, identifying essentials items, set up promotion ID’s, set up shelf locations and default templates for signage/shelf tags, and updating descriptions on all items for signage
  • Managing and editing SCO by adding new items and updating SCO screens.
  • Run weekly reports for NOF items and update security details and specific items
  • Troubleshoots issues related to these systems, escalating to Retail Operations Support Specialists
GOLD and E-Plum Data Analysis 
  •  Collaborates with ROSS with regards to SKU and product data (e.g.) retail and promotional prices, vendor information, product description, item tax, deposit, saleable assortment
  • Ensures successful transmission of data from Support Centre to store level.
  • Identifies sources of data transmission errors and troubleshoots to resolve.
  • Audits store-level file maintenance processes to ensure that required changes or modifications have been successfully executed. (e.g.) precise pricing, correct signage, proper system configuration.
Reporting, Administration and Special Projects:
  • Provides analysis with regards to actual store data versus Support Centre zone data.
  • Heavily involved in the new store set-up process, testing, trouble shooting and auditing prior to going live.
  • Develops and updates standard operating procedures (SOP) and manuals for File Maintenance Clerks.
Health and Safety:
  • Promotes and endorses safety vision “Safety is our way of life”.
  • Observes and supports Longo’s safe work guidelines and other safe work practices.
  • Role models the importance of health and safety by always working safely and calls out and addresses safety issues.
  • Recognizes risks which may pose a danger to Team Members and customers and resolves such issues (where possible) or modifies work, mitigating the risk to Team Member/customer until resolution can be sourced and implemented maintenance function.
  • Acts as a key liaison among Supply Chain, ROSS and store operations with regards to in-store systems.
  • Communicates and works to resolve system issues with IT department.
  • Performs additional tasks that are specific to FM function (and not detailed in this profile) as determined by immediate manager.
  • Undertakes special tasks and duties as assigned by ROSS.
Knowledge, Skills & Competencies:
  • Post-secondary level education, preferably with a focus in a business-related field of study.
  • A minimum of 2 years of grocery retail experience, preferably in a back-office or front-end (customer service role).
  • Familiarity with POS and item management database administration is preferred.
  • Strong computer skills required, particularly with the Microsoft Office suite of products.
 Working Conditions:
  • Work is performed in both the stores and the office environment.
  • Ability to manage multiple projects and changing priorities with regular deadlines.
  • Travel between stores and office is required on a regular basis.
  • Occasional weekend work and work outside of regular business hours may be required.
