Position Summary: The Purchasing Assistant will provide administrative and operational support to the Materials Department, ensuring the timely and cost-effective acquisition of materials, components, and services necessary for our manufacturing operations. This role supports maintaining strong supplier relationships, accurate record-keeping, and supporting the overall efficiency of our supply chain.
Key Responsibilities:
- Assist the Purchasing Manager and Buyers with day-to-day purchasing activities.
- Creates and sends POs based on established purchasing policies.
- Communicate with suppliers regarding order status, delivery schedules, and discrepancies.
- Track and expedite orders to ensure on-time delivery of critical materials to meet production schedules.
- Maintain accurate purchasing records, including vendor files, purchase orders, and delivery confirmations.
- Reconcile invoices with purchase orders and packing slips, resolving any discrepancies with suppliers and accounting.
- Assist in researching potential new suppliers and obtaining quotes for materials and services.
- Process returns of defective or incorrect items to suppliers.
- Generate purchasing reports (e.g., open orders, delivery performance) as required.
- Collaborate with other departments, particularly Production, Inventory, and Accounts Payable, to ensure seamless material flow and accurate financial processing.
- Maintain organized digital and physical filing systems for purchasing documentation.
- Perform general administrative duties such as data entry, scheduling meetings, and managing correspondence.
Qualifications:
- High School Diploma or equivalent.
- 1-2 years of experience in an administrative support role, preferably within a purchasing, supply chain, or manufacturing environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential. Strong Excel skills are highly desirable.
- Experience with Sage 100 ERP system is a significant plus.
- Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
- Strong verbal and written communication skills.
- Ability to work independently as well as collaboratively in a team environment.
- Proactive, problem-solving mindset with a strong work ethic.
- Understanding of basic purchasing principles and supply chain concepts is a plus.
Physical Requirements:
- Primarily an office-based role, requiring extended periods of sitting, standing, and working at a computer.
- Ability to lift and carry up to 15 pounds occasionally (e.g., office supplies, files).
