The role you’ll contribute:
The Senior Collaboration Engineer leads the design, implementation, and optimization of enterprise-wide collaboration systems, with a focus on integrating AI-powered tools and emerging technologies. This role ensures the reliability, security, and efficiency of collaboration platforms (including Microsoft 365, Exchange Online, Teams, SharePoint, and other productivity services) across the organization. The Senior Collaboration Engineer provides expert-level technical leadership, project management, and mentoring to team members, while proactively identifying opportunities to modernize collaboration capabilities and shape the IT roadmap. The ideal candidate is a forward-thinking, hands-on engineer who can maintain robust day-to-day operations while driving innovation in a cloud-first and zero-trust collaboration environment.

- Ensure Platform Reliability & Security: Oversee the health of enterprise collaboration platforms, ensuring their reliability, security, and optimal performance to support organization-wide communication and productivity. This includes maintaining high uptime for Microsoft 365, Exchange Online, Teams, SharePoint, and related systems.
- Technical Leadership & Mentorship: Serve as a senior technical escalation point for complex issues and provide mentorship and training to other engineers and analysts, guiding them in best practices for supporting and maintaining collaboration systems. Act as a subject matter expert for the team, assisting with difficult cases and fostering knowledge-sharing.
- Lead Complex Projects: Lead the implementation of high-impact or high-complexity collaboration projects as the technical expert, ensuring solutions are delivered securely, compliantly, and with an excellent user experience. Coordinate project tasks, timelines, and risks, and drive projects to successful, on-time completion.
- Architect & Integrate Collaboration Systems: Design, deploy, and support scalable unified collaboration infrastructure with a cloud-first approach, focusing on Microsoft 365 services (Exchange Online, Teams, SharePoint) and integrating these platforms with other enterprise systems for seamless interoperability. Continuously evaluate new technologies to improve or extend the collaboration environment.
- Automation & Scripting: Develop and maintain automation scripts and workflows (e.g., PowerShell) to streamline system management, user onboarding/provisioning, and incident resolution. Leverage scripting and workflow automation to reduce manual effort and improve response times for common tasks and requests.
- System Monitoring & Maintenance: Perform proactive monitoring of collaboration systems and servers, and carry out preventative maintenance (regular upgrades, patches, and fixes) to ensure maximum availability and performance. Identify emerging capacity or performance issues and address them before they impact users.
- Troubleshooting & Issue Resolution: Troubleshoot and resolve complex issues affecting email and collaboration tools, conducting root-cause analysis to prevent recurrence. Escalate critical or unresolved issues to the appropriate teams or vendors when necessary, and follow through to ensure timely problem resolution.
- Security & Compliance: Maintain a high level of security compliance across all collaboration platforms. Implement necessary security measures and protocols, and conduct regular security audits or risk assessments to ensure systems meet organizational policies and industry standards. This includes enforcing email security standards and protecting sensitive data within collaboration tools.
- Documentation: Maintain comprehensive documentation of collaboration environments, including architecture diagrams, system configurations, disaster recovery procedures, and standard operating processes. Ensure that all technical documentation is up-to-date and accessible to relevant stakeholders to support business continuity and knowledge transfer.
- Communication & Collaboration: Communicate effectively with team members and IT leadership regarding project status, system changes, and incident updates. Collaborate with cross-functional IT teams and vendors to plan and implement enhancements or new features, and to ensure alignment of collaboration services with business needs. Provide clear updates and presentations on complex issues or proposals to stakeholders at various levels of the organization.
· On-Call Support: Participate in on-call rotations and be available after hours as needed to support critical issues or emergency situations. Take ownership of major incidents in the collaboration domain and work diligently to restore services as quickly as possible, ensuring minimal downtime and impact on end-users (per the organization’s incident response procedures)
The expertise and experiences you’ll need to succeed:
KNOWLEDGE AND SKILLS REQUIRED:
Education: Bachelor’s degree in Information Technology, Computer Science, or a related field – or an equivalent combination of education and experience (e.g. 5+ years of relevant IT work experience in lieu of a four-year degree).
Experience: 5+ years of hands-on experience in system, server, and network administration in a large IT environment, including substantial experience supporting Microsoft Windows Server and Microsoft 365 (Office 365) collaboration platforms.
Networking Knowledge: Strong understanding of networking concepts and protocols (LAN/WAN, network equipment, DNS, etc.) as they relate to collaboration services, in order to troubleshoot connectivity and integration issues.
Project & Change Management: Experience with IT project planning/management and familiarity with formal change management processes and methodologies in technology environments. The candidate should be comfortable using project management tools and following change control procedures to implement updates or new systems.
Microsoft 365 & Exchange Expertise: Expert-level knowledge of the Microsoft 365 collaboration suite, including Exchange Online, Teams, SharePoint, and Outlook, as well as on-premises Microsoft Exchange administration in a hybrid environment (combining on-prem and cloud). Hands-on experience managing email systems and messaging infrastructure in complex, hybrid enterprise setups is essential.
Email Security & Authentication: Deep knowledge of email security standards and protocols (SPF, DKIM, DMARC) and experience managing secure email gateway solutions (such as Proofpoint Secure Email Relay). Familiarity with email authentication and anti-phishing tools like Valimail, Fortra (Agari), or similar technologies for protecting and monitoring enterprise email is expected.
Directory Services (AD/Azure AD): Extensive experience with identity and access management, including Microsoft Active Directory administration and synchronization with Azure AD/Entra ID. Comfortable with managing hybrid identity environments, directory synchronization (e.g., Azure AD Connect), and handling user/group policies across on-premises and cloud directories.
Automation & Scripting: Strong scripting and automation skills, particularly with PowerShell and other scripting languages, to automate workflows and integrate systems. Ability to develop scripts or use automation tools to handle repetitive tasks (such as user provisioning, mailbox management, or routine maintenance) and improve overall efficiency.
AI and Modern Tools: Working knowledge of AI-powered tools and the ability to integrate them into collaboration workflows. For example, familiarity with chatbots, intelligent assistants, or Microsoft 365 AI features (like Microsoft 365 Copilot) and how they can enhance communication and productivity. A mindset of continuous learning to evaluate and adopt emerging technologies is important.
Cloud-First & Security Mindset: Solid understanding of modern cloud-first architecture strategies for IT services and zero-trust security models. Experience designing or supporting cloud-based collaboration solutions with an emphasis on security at all layers (identity, device, network, and data) is highly valued.
Communication & Interpersonal Skills: Excellent verbal and written communication skills, with the ability to articulate complex technical concepts to both technical teams and non-technical stakeholders. Strong interpersonal skills, including the ability to collaborate with colleagues of varying technical backgrounds and to provide exceptional user support when needed.
Leadership & Team Collaboration: Demonstrated ability to lead technical initiatives and mentor junior staff members in a team environment. Proven track record of taking ownership of projects, guiding team efforts, and fostering a collaborative, knowledge-sharing culture. The candidate should be self-motivated, proactive, and capable of driving improvements in collaboration services with minimal supervision.
EDUCATION AND EXPERIENCE PREFERRED:
Project Leadership: Prior project management experience (approximately 2+ years of leading IT projects or a Project Management Professional certification) is a plus. Demonstrated ability to coordinate cross-team projects and deliver results on time will be highly valued.
Microsoft & Infrastructure Certifications: Professional certifications in relevant technologies are highly desirable – for example, Microsoft Exchange Engineer, Microsoft 365 (Enterprise Administrator or equivalent), and/or Windows Server certifications (or proven equivalent expertise). These credentials validate in-depth knowledge and can substitute for some experience requirements.
Additional Certifications: Industry certifications such as ITIL (IT service management best practices) or networking certifications (e.g., Cisco CCNA or CompTIA Network+/A+) are an advantage. Such certifications indicate a strong foundation in IT processes and infrastructure.
Enterprise/Industry Experience: Experience working in large enterprises or highly regulated industries is beneficial. Familiarity with compliance requirements and communication workflows in sectors like healthcare, finance, or similar environments can help in addressing industry-specific challenges (though this role itself is not industry-specific).
LICENSURE OR REGISTRATION PREFERRED:
