Job Summary:

Responsible for managerial level program operations, site performance, direct reports, and technical (laboratory) administrative team support.

 

This role is focused on managerial program operations and supervisory activities.  Strategic planning, hands-on execution, multi-tasking, and attention to detail.  Balancing simultaneous projects, managing multiple stakeholders, and establishing and maintaining relationships with both internal and external stakeholders are critical drivers to success. 

 

This position will support projects related to overall operations efficiency and people management.  This role is 100% onsite in Los Angeles, CA, and may require minimal travel to other CSI Reproductive Sites  (<5%). 

 

Daily managerial activities may include: donor program branch operations, regional branch outreach, lab collaboration, and fertility preservation on-site support.

 

To be successful in this role: leadership, empathy, and emotional intelligence are paramount in every consideration.  Clear and thoughtful communication and the ability to build successful partnerships and collaboration with internal/external stakeholders is vital.

Responsibilities

Essential Functions & Accountabilities:

The role and responsibilities of the Manager is dynamic day-to-day and may change as warranted by business demands

  •  Managerial Oversite of All Program Operations:

    • Oversee branch activities and ensure donor program operations are optimized and compliant with company Standard Operating Procedures

    • Support Leadership and HQ colleagues: Donor Department, Reproductive Lab Operations, Cryogenics, Facilities, IT, Client Services, Accounting, Finance and Fertility Preservation

      • Operationally responsible for upholding the above-noted teams' daily operations, performance requirements, procedural compliance, reporting, and standard operating procedures

      • Perform initial/final reviews of all branch charts

      • Support donor vial release process (i.e., chart review and corrections, ATR creation) 

    • Ensures administrative data entry and reports are complete as scheduled

      • Review and approve reports, payroll data, and transportation reimbursement 

  • Manage direct and indirect branch program activities 

    • Anonymous Donor Program, Branch Fertility Preservation 

    • Reviews and approves LA Branch purchase orders and invoices as needed

    • Acts as SME for FDA and other regulatory inspections

  • Lab Collaboration

    • Collaborate with the on-site Laboratory Manager as designated by the Dir. of Reproductive Lab Operations

    • Ensure administrative operations complement the laboratory team's workflow and administrative needs 

  • On-site facilities

    • Ensures layout compliments logistics 

    • Ensure non-technical office equipment is functioning, procure supplies, and recommend new/replacement equipment purchases

    • Partnering with on-site Facilities Manager to maintains a safe, secure, and clean work environment (i.e., housekeeping services, building security, safety issues are addressed, and monitors and oversees access)

  • Manage [direct reports]

    • Leadership: mentor, train new hires, guide teams

    • Ensure staff 

      • is delivering accurately and timely

      • is trained 

      • delivers with the utmost care and customer service 

    • Monitors performance, updates/documents, and maintains administrative branch personnel records

    • Builds successful career paths and mentors teams to success

    • Facilitates the Safety Orientation Checklist

    • Manages employee new hire and release processes in collaboration with direct manager 

 

Business demands: 

This role is dynamic and requires attention to detail in consideration of the larger organization and processes and procedures. Business demands, metrics, and unforeseen situations dealing with the public mandate priorities. 

 

Travel: Minimal, within the US

Experience:

Three to five years of administrative healthcare-related work experience required. Must include a direct supervisory/management position with at least two years of experience in a supervisor/management role in a healthcare/administrative setting. 

 

Knowledge of the reproductive healthcare field is a plus.

 

Education:

Bachelor's degree required

The actual base pay includes many factors, and is subject to change and modification in the future.  This position may also be eligible for other types of compensation and benefits
