About the Department
Pay Grade: Assistant 6
This position will provide administrative support and assist in operational activities for the Disability Support Services (DSS) department.
Position Duties

*Provides administrative and technical assistance to the Director, Assistant Directors and DSS staff
*Prepares and reviews contracts and contract changes; collects timesheets from managers, reviews for accuracy, submits for approval and coordinates with HR and accounting office for any issues
*Builds and verifies all disability and accommodation reports in the case management system
*Generates and processes purchase orders, E-procurement and Form 58
*Works with external vendors and customers to ensure invoices and rates are accurate and complete, and processes work order tickets for service adjustment
*Reviews and verifies for accuracy expenditure and travel requests; copies and files all monthly travel expenditures and routes them to appropriate personnel for payment
*Maintains consistent formatting of processes, procedures and policies while tracking annual timeline to update materials
Manages inventory and assignment of resources (keys, computers, furniture, supplies, departmental forms) for DSS staff
Develops and maintains internal contact lists, confidential employee information, and administrative information for the department
Create and maintains contact lists of administrative assistants across the College to assist with sharing information and connecting students and staff to different service areas
Edits basic website information for the Disability Support Service page and updates employee information in the case management system
Prepares internal and external correspondence
Responds promptly to all inquiries from prospective students, providing general information, and making referrals as appropriate
Provides supplementary assistance with front office duties as needed
Schedules, reserves rooms and coordinates attendance of department meetings; prepares agenda and takes meeting minutes Ensures the accuracy and timeliness of all paperwork
Reports and coordinates office moves, repairs and computer repairs.
Minimum Qualifications
Knowledge, Skills & Abilities:
Ability to maintain confidential information
Must be a quick learner, detail oriented, and willing to learn new technology and systems to assist students with disabilities
Ability to exhibit good interpersonal skills, including the ability to establish and maintain cooperative working relationship
Ability to maintain records accurately and be able to meet deadlines consistently
Demonstrates good organizational skills
Ability to perform normal duties with minimal supervision
Excellent written and verbal communication skills
Exceptional customer relations skills
Must be able to multitask
Minimum Requirements:
Associate’s Degree
Two years of related office experience and customer service experience
Or an equivalent combination of education and experience
Must have intermediate skills in MS Office products, specifically with MS Word and MS Excel
Preferences:
Experience in an academic setting
