I. JOB SUMMARY/ACCOUNTABILITY:


The Professional Development Administrator is responsible for coordinating, implementing, and documenting all staff training and professional development activities for the Head Start and Early Head Start programs. This role ensures compliance with federal and state training requirements and Head Start Performance Standards by managing records, processing orders, and maintaining budgets. The position requires the individual to be a self-motivated professional capable of managing their workload and prioritizing tasks in a fast-paced environment.


II. POSITION QUALIFICATIONS:


  • Associate degree from an accredited college or university, or equivalent work experience with a high school diploma.


  • Two years of related work experience.


  • Excellent computer skills, including proficiency with Microsoft Office and the ability to become familiar with agency-specific programs and software.


  • Organized self-starter demonstrated ability to initiate and prioritize a daily workload.


  • Must be able to meet deadlines in a fast-paced, quickly changing environment.


  • A proactive approach to problem-solving with strong decision-making skills.


  • Professional verbal and written communication skills.


  • Professional appearance.


  • Effective in an environment of cultural diversity; comfortable in a collaborative, team-based work setting


  • Reliable transportation is required.


III. GENERAL RESPONSIBILITIES:


  • Coordinate in-person and virtual training logistics, including venues, materials, technology setup, and registration.


  • Maintain the annual professional development calendar and training tracker in alignment with program goals.



  • Maintain accurate and up-to-date staff training records in compliance with Head Start Performance Standards and local licensing requirements.


  • Generate reports on training, participation, staff qualifications, and completed professional development hours.


  • Support onboarding and orientation processes for new hires.


  • Ensure documentation is organized and readily available for monitoring and audits.


  • Process check requests, purchase orders, registrations, and invoices related to professional development activities.


  • Track expenditures for center operations.


  • Work with the fiscal department to ensure timely payment and proper coding of training-related expenses.


  • Monitor supply levels and order training materials, manuals, and certificates as needed.


  • Collect participant evaluations and assist in analyzing training effectiveness and staff feedback.


  • Provide data summaries to support planning and grant reporting.


  • Assist with staff credentials and CDA renewal tracking.


  • Provide general administrative support and assist with record keeping.


  • Must participate in all program-sponsored activities and community events.


  • Ensure compliance with all performance standards and regulations.


  • Maintain adequate safeguards for the privacy and confidentiality of information.


  • Complete required documentation of relevant activities and submit records and reports promptly and accurately.


  • Stay abreast of current issues and trends by participation in grantee-sponsored training, center pre-service and in-service training, and other continuing education, career, and professional development opportunities; read and review regulations and other resources.
