About the Role
We’re seeking an Intake Manager, Sales Operations, to lead and scale the front-end of our patient journey, from first inquiry to scheduled appointment. Reporting to the Sales Director, you’ll manage a team of Admissions/Intake Coordinators responsible for responding to leads, qualifying clients, and converting inquiries into scheduled appointments.
This role blends sales leadership, operational excellence, and client experience, ensuring that every person who reaches out to Thriving Center feels taken care of and moves smoothly through the intake process.
You’ll oversee performance metrics, build SOPs and training materials, implement scripts and response templates, and drive measurable improvements in conversion, response times, and client satisfaction.

Responsibilities
Lead a high-performing team of 8+ Admissions/Intake Coordinators handling inbound and outbound calls, chats, web leads, and SMS inquiries.
Own intake KPIs — including contact rate, schedule rate, time-to-first-response, time-to-admission, and client satisfaction.
Drive conversion and sales performance by optimizing workflows, scripts, and client matching logic.
Ensure timely follow-up and consistent communication with all prospective clients, families, and referral sources.
Recruit, train, and coach team members; conduct performance reviews and QA evaluations.
Coordinate team schedules to ensure coverage, efficiency, and service-level attainment.
Develop SOPs and playbooks for intake operations, messaging, and sales processes.
Monitor data and trends; publish weekly dashboards and performance reports for leadership.
Partner cross-functionally with Clinical Operations, Marketing, and Billing/RCM to improve lead quality, eligibility capture, and client placement.
Maintain compliance with HIPAA and Thriving Center’s privacy and documentation standards.
Qualifications
3–5+ years of experience leading an Intake, Admissions, or Inside Sales team in healthcare or behavioral health.
Proven track record of improving conversion and response-time KPIs.
Experience in sales operations or high-volume client engagement environments.
Strong data literacy and CRM reporting (Zoho or similar CRM preferred).
Excellent communicator with a focus on empathy, accountability, and efficiency.
Skilled in building SOPs, QA systems, and training programs.
Familiarity with HIPAA and patient privacy standards.
Proficiency with Google Workspace; BI or contact center tools a plus.
