Job Description:

Duties/Responsibilities

• Assist the designated executive to perform his/her duties effectively

• Answer and transfer phone calls, screening when necessary

• Welcome and direct visitors and Scottish Rite for Children staff

• Maintain filing systems as assigned, if applicable

• Retrieve information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed

• Respond to and resolve administrative inquiries and questions

• Coordinate and schedule travel, meetings, and appointments for the executive

• Prepare agendas and schedules for meetings

• Record and distribute minutes or other records for meetings

• Treat all confidential material in a responsible and confidential matter

Required Skills/Abilities

• High school diploma or equivalent required

• Bachelor's degree preferred

• Must have at least 2 years of Administrative Assistant experience

• Excellent verbal and written communication skills

• Excellent interpersonal and customer service skills

• Proficient in Microsoft Office Suite

• Excellent organizational skills and attention to detail

• Basic understanding of clerical procedures and systems such as recordkeeping and filing

• Ability to work independently
