Position:The Executive Assistant provides high-level administrative support and complex project-based work to senior leadership, ensuring seamless day-to-day operations and enabling leaders to focus on strategic priorities. This role goes beyond traditional executive support and requires exceptional organizational skills, analytical capabilities, discretion, and the ability to manage multiple tasks and stakeholders in a fast-paced, dynamic environment. The ideal candidate will be an expert on the full suite of Microsoft 365 applications, including PowerPoint, Excel, Word, and Teams, with a strong ability to create compelling Board-quality presentations and Excel analyses, leverage tools like Microsoft Copilot to accelerate productivity, manage complex schedules, and anticipate needs with precision and discretion. The Executive Assistant serves as a trusted partner to the Co-Chief Legal Officers, handling complex scheduling, travel coordination, communications, and confidential matters with professionalism and efficiency. Success in this role demands proactive problem-solving, attention to detail, and a strong sense of ownership.
Responsibilities:- Manage all aspects of calendars and day-to-day operations, including scheduling meetings, calls, and travel, with an emphasis on balancing priorities.
- Organize, coordinate, and prepare for various meetings, including reserving conference rooms, arranging for catering, preparing materials, scheduling key staff, creating travel arrangements, etc.
- Handle confidential information with discretion and professionalism.
- Design and produce high-impact PowerPoint presentations for internal and external audiences, ensuring clarity, consistency, and visual appeal.
- Use Excel to create and maintain reports, dashboards, and trackers. Perform data analysis and formatting with advanced Excel functions.
- Remain up-to-date on how to effectively leverage new technology tools and capabilities, including Microsoft Copilot.
- Act as a liaison between internal staff as well as clients and outside organizations, demonstrating an ability to maintain confidentiality, trust, support, and follow-through with senior management.
- Complete expense reports, manage vendor invoices, and handle other miscellaneous administrative requirements.
- Maintain organized filing systems (digital) for legal and compliance records.
- Assist in tracking key legal and compliance initiatives, deadlines, and deliverables as assigned from time to time, including preparing status updates and ensuring timely follow-ups.
- Facilitate communication and coordination across the team, including organizing team meetings, offsite events, and training sessions.
- Support and execute special Legal & Compliance projects as requested.
- High School diploma required; Bachelor’s degree preferred.
- 4-6 years of executive support experience, preferably within financial services or a law firm.
- Proven experience as a highly effective Executive Assistant or similar role supporting senior leadership.
- Strong Microsoft Office skills, including advanced PowerPoint, Excel, Word, and Teams skills.
- Excellent communicator with outstanding written and verbal skills.
- Commitment to excellence with a high-level of attention to detail.
- Excellent organizational and time management skills with ability to multi-task, prioritize, and meet competing deadlines.
- Demonstrated ability to handle sensitive information with complete discretion.
- Excels in a dynamic environment with the ability to work well independently as well as collaboratively.

- Accurate and timely follow-up and responsiveness.
- Available to work overtime as needed.
The anticipated base salary range for this role is $115,000 to $130,000. Base salary for the role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience, and may fall outside of the range shown. In addition, this role may be eligible for a discretionary bonus.
