Property Program Maintenance Coordinator

The Foundation for Advanced Education in the Sciences, Inc. (FAES), is an entrepreneurial non-profit organization, located at the National Institutes of Health (NIH) in Bethesda, Maryland, which conducts programs and activities to promote the productivity and attractiveness of professional life on the NIH campuses. FAES programs complement the work of NIH in accomplishing its mission of research and training in the biomedical sciences and FAES seeks to continue to create and sustain cutting-edge programming in all operational areas.

Essential Duties and Responsibilities (other duties may be assigned):

  • Coordinate key daily, weekly, monthly, yearly, and ad-hoc administrative and onsite tasks to ensure efficient workflow and maintain condition of properties.
  • Receive, prioritize, and investigate incoming maintenance requests and schedule vendor appointments with approval from the Property Program Supervisor.
  • Ensure that maintenance requests are completed in a timely manner and communicate the status efficiently with occupants.
  • Develop and implement preventative maintenance schedules and schedule vendor appointments accordingly.
  • Ensure established standards are met regarding “House Rules” and recommend updates and/or changes in response to changing patterns and dynamics observed in households during monthly walkthroughs.
  • Conduct routine walk-throughs (move out inspections, make ready inspections, monthly walk throughs, etc.) to identify any maintenance issues that require repair throughout the property and propose items to the Property Program Supervisor.
  • Ensure the highest levels of professional services are provided to all FAES Housing Occupants and other FAES patrons.
  • Develop effective partnerships and collaborations with maintenance vendors and fellow FAES staff members.
  • Communicate with FAES Housing Occupants and other FAES patrons regarding maintenance issues, onsite visits, etc.
  • Provide a high level of customer service.
  • Collaborate with the Property Program Supervisor to respond to emergencies or potential emergency situations, as needed.
  • Other duties as assigned.
  • High school diploma or equivalent required.
  • Ability to work independently and effectively in team settings and build collaborative partnerships.
  • Demonstrated excellence in customer service and interpersonal communication.
  • Strong attention to detail and accuracy.
  • Excellent organizational and logistical planning skills.
  • Ability to manage multiple tasks simultaneously and prioritize effectively.
  • Strong written and verbal communication skills; fluency in English required.
  • Ability to quickly learn and adapt to new technologies and software systems.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) preferred.
  • Experience with Yardi Breeze or similar property management software is preferred.
  • Willingness to work evenings and weekends as needed.
  • Must have reliable transportation and appropriate insurance; this role requires travel between locations in Bethesda.

Qualifications:

  • Must be able to pass an NIH background check to be employed at FAES.

Typical Work Schedule:

The typical work schedule for this position is 8:00 a.m. to 4:30 p.m., Monday through Friday. This is a fully on-site, in-person role. The Property Program Maintenance Coordinator reports directly to the Property Program Supervisor. Telework is not permitted.

Physical Requirements:

This is an active, on-site position that involves the regular use of standard office equipment. The role requires the ability to frequently lift and carry items weighing up to 20 pounds. Approximately 75% of each shift involves physical movement, including walking between properties, conducting inspections, coordinating with vendors, and interacting with housing occupants.
