This position is the chief staff position to the general offices of the General Organizations as those General Presidencies work to bring souls unto Christ. In this role, an incumbent (1) assists in and facilitates the work of the General Presidency and advisory council members; (2) provides day-to-day direction for the ongoing operations of the general office; and (3) provides direct response or assists the presidency in providing response to requests for assistance from General Authorities. This position manages a team.
Responsibilities
- Facilitates and coordinates the work of the General Presidency and advisory council by interfacing with departments at Church headquarters, Church units, and outside agencies.
- Manages staff and directs the communication with and explanation of Church and organization policies to area and stake priesthood and organization leaders by telephone or written instructions.
- Prepares training materials for stake priesthood and organization leaders in approved program implementation. Makes logistical and technology arrangements for weekly trainings to newly called stake organization leaders around the world.
- Responds to requests for assistance from General Authorities, General Officers, and departments of the Church on matters pertaining to the organizations.
- Onboards new General Organization Presidents and counselors as they are called.
- Oversees and facilitates, in coordination with other staff, all day-to-day operations and workload coordination for full-time presidency members and advisory council members.
- Provides training to the general advisory council as assigned.
- Manages schedules, arranges travel, and coordinates all office functions.
- Coordinates the development of presentations, writing proposals, procedures, planning, and training by analyzing needs, evaluating materials, sharing information, and participating in presidency, executive, and board meetings. Responsible for the agenda, minutes, and follow-up on assignments made.
- Gives technical assistance, is responsible for long-range planning, and provides necessary research and resources for items under discussion.
- Works with the other administrative managers, working group leads, and managers in the department to facilitate the work of the Priesthood and Family Department and the Executive Council.
- Assures that monies are appropriately requested and expended properly by preparing the budget for approval by the General Presidency and department directors, and by monitoring expenses in accordance with Church policies and guidelines.
- Provides facilities management, hosting, and visitor coordination.
- Represents the General Presidency in support of meetings or on the telephone with General Authorities or directors of the Priesthood and Family Department and other departments as requested.
- Assists with planning and preparations for General Officer participation at Church-directed events, including temple sites meetings, mission leader seminars, devotionals, leadership conferences, Church magazine articles, symposiums, etc.
- Prepares General Officers for participation in assigned executive meetings. Supports the tracking and completion of resulting action items.
- Prepares General Officers for speaking assignments at devotionals, leadership seminars, dedications, Church meetings, etc. The administrative manager assists in drafting talks.
- Facilitates messaging of the General Organization on social media sites and the Church website.
- Manages the work of other employees (may include mixed workforce).
- Responsible, in partnership with HR, to hire or fire employees and recommends advancement, promotion or any other change of status of employees within their reporting line.
Qualifications
- Bachelor’s degree in business, communications, or related field, and eight years of related work experience or an equivalent combination of education and experience.
- Two years’ experience as a supervisor of employees, program manager or similar management role.
- Management and administrative skills to handle the day-to-day administrative operations in the general offices of a worldwide organization.
- Accounting and budgeting, basic statistical analysis.
- Strong verbal and written communication skills.
- A thorough knowledge of the doctrine, general policies, and organization of the Church.
- Demonstrated ability to organize, plan, problem solve, multitask, and complete a wide range of tasks including high priority tasks that arise frequently.
- To successfully perform the essential functions of the job, there may be physical requirements which need to be met such as sitting for long periods of time and using monitors/equipment.
