Job Summary
As the first point of contact for our company, the Receptionist will play a crucial role in creating a positive and welcoming experience for clients, visitors, and employees. This position involves a combination of front desk management, phone system operation, and administrative support. The ideal candidate is organized, professional, and has excellent communication skills.
Essential Functions
- Greet and welcome visitors with a friendly and professional demeanor
- Maintain a clean and organized reception area
- Answer, screen, and direct incoming calls promptly and courteously
- Assist visitors with inquiries, provide information, and direct them to the appropriate contacts
- Schedule appointments and maintain calendars for meetings, events, and conference rooms
- Assist with general administrative tasks, including data entry and mail handling/distribution
- Address customer inquiries and concerns to ensure a positive experience
- Collaborate with IT and HR functions for new-hire onboarding as needed
- Assist with other general administrative duties as needed
Knowledge, Skills, and Abilities
- Excellent communication skills, both verbal and written
- Strong organizational and multitasking abilities
- Customer-focused attitude with a commitment to delivering exceptional service.
- Proficiency in using office equipment and basic software applications.
- Professional appearance and demeanor
- Previous experience in a receptionist or customer service role preferred.
Supervisory Responsibilities
- This position has no supervisory responsibilities.
Work Environment and Physical Demands
- In office environment
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Travel
- This job requires no planned business travel.
Education and Experience
- High School graduation or equivalent is required.
- Experience in technology platforms, especially in Microsoft Office.
