Job Title: Day Program Coordinator

Supervisor: Director of Day Programming 

Department: Program Services 

FLSA Status: Hourly

Summary: The Day Program Coordinator will oversee coordination of the implementation of programming while supervising Day Program employees.  


Essential Duties 

  1. Adhere to KCARC’s quality policy of striving to continuously improve delivery of all services and products to customers meeting or exceeding requirements.   
  2. Promote the mission and values of KCARC through personal example, providing educational opportunities, communicating with honesty, inviting input and expecting mutual accountability.  
  3. Receive and follow up on all complaints involving the provision of services for day services program participants.
  4. Complete day services employee schedules by the designated due date and ensure each day services program always has an updated copy of the schedule. 
  5. Responsible for incident reporting for all day program services.
  6. Actively participate in all departmental internal and external audits/surveys. Perform root cause analysis for all non-compliances/non-conformances. Work with appropriate employees to develop appropriate corrective actions. Document root cause planned corrective action, actual corrective action and preventive action in Q-pulse. Monitor the follow-through of all actions. Write and implement corrective action plans. Monitor the implementation of this corrective action.
  7. Assist with implement activities and training programs for day service participants.
  8. Implement changes to individual programs as determined in 90-Day meetings as appropriate.
  9. Represent day programming and coordinate and complete all necessary intake procedures for new 

participants applying to day programming.

  1. Collect appropriate data and implement all elements of behavioral plans during the time participants

 receive day services.

  1. Consult with residential services programs and manufacturing plant employees regarding participants’ day programming and assist in resolving any issues that may arise.
  2. Consult with health services employee to ensure Individuals are attending appointments and receiving care as required.
  3. Consult with IT employees to ensure day services programs have the equipment needed to electronically access and document required documents and forms.  
  4. Ensure all necessary supplies are available.
  5. Primary contact for Fiscal, HR, and other KCARC professionals regarding Day Programming.
  6. Routinely promotes the mission and values of KCARC through personal example, providing educational opportunities, communicating with honesty, inviting input, and expecting mutual accountability. 
  7. Ensure a clean and safe environment is maintained for all day services programs.   
  8. Oversee employees are entering hours worked in an accurate and timely manner.
  9. Oversee all aspects of direct reports. This includes time off requests, hours worked, evaluations, billing entries, and time approval as required.

20. Ensure employees billing entries are accurate for codes, times, and Individuals served and entered using the appropriate software.

21. Ensure time is being approved and attendance is being tracked and communicated as required for payroll and human resources. 

22. Always maintain professionalism and confidentiality, as well as a positive attitude within the work environment.

23. Be able to frequently lift 75 pounds independently and over 75 pounds with assistance.

24. Follow all policies, procedures or regulations set by local, state, and federal regulatory agencies, including ISO standards.

25. All other duties as deemed necessary. 

26. Additional hours if needed are mandatory 


Requirements

Qualifications:

  1. Valid Driver’s license with excellent driving record.
  2. Possess ability to maintain flexible schedule.
  3. Ability to communicate well, both verbally and in writing.
  4. Ability to listen to what is said and act upon it appropriately.
  5. Ability to use tact and empathy in dealing with people of varied backgrounds.
  6. Ability to establish effective working relationships.
  7. Ability to work independently or in a team environment and plan and organize workload.
  8. Proficient in Windows and Microsoft Office products. (computer literate)
  9. Accepts responsibility and demonstrates leadership.
  10. Can multitask effectively in a fast-paced environment.
  11. Trustworthy- Able to keep business confidence as required.
  12. Open minded- Willing to embrace change.

               

Education and /or Experience:

Bachelor’s degree in education or social services area preferred. Experience working with persons with developmental disabilities and physical disabilities is preferred.


Certifications/Licenses/Registrations:

Medical Administration: Core A and Core B. 

CPR/First Aid.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential duties.


Work Environment: 

While performing the duties of this job, the employee is occasionally exposed to fumes, airborne particles and outside weather conditions. The noise level is usually moderate but occasionally loud. Use of Personal Protective Equipment such as vinyl or latex gloves is occasionally required.
