Office Assistant - Dist Facilities Bookkeeper

Days: 230 Days, 8 Hours Per Day

GENERAL DESCRIPTION OF POSITION
The incumbent is responsible for preparing all purchase orders, ordering needed items and monitoring the schools budget to insure accuracy at all times. Handle all financial transactions both revenue and expenditure for all operating and activity accounts, and other duties as assigned. Balance building budget and all activity accounts.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Enter purchase requests and make purchases as directed.
- Prepare purchase orders and invoices to be paid. Call in orders when purchase orders are returned from the central office.
- Prepare and make deposits.
- Responsible for keeping copy machines and other machines running and supplied.
- Handle payroll and complete staff absence(s) through AESOP.
- Request and handle building door cards.
- Enter requisitions for maintenance on building and grounds.
- Responsible for helping to order, set up and clean up for staff meetings, faculty in-services, parent teacher conferences and open house.
- Prepare monthly report of all vendors who do not charge sales tax and send to central office.
- Assists with the copying and distribution of documents and other materials (e.g., correspondence, bulletins, reports) for administrative, instructional and clerical staff.
- Assists in maintaining documents, files and records for the purpose of providing up-to-date reference.
- Assists with answering telephone calls, and provide information and assistance to callers.
- Assists in distributing incoming mail appropriately.
- Assists in maintaining inventories of supplies and materials for the purpose of ensuring items' availability.
- Assists with check in or out staff/patrons entering and leaving the building.
- Perform any other related duties as required or assigned.
QUALIFICATIONS

EDUCATION AND EXPERIENCE
High school, plus specialized schooling and/or on the job education in a specific skill area; e.g. data processing, clerical/administrative, equipment operation, etc, plus 12 to 18 months related experience and/or training or equivalent combination of education and experience.
SOFTWARE SKILLS REQUIRED
Mastery: Alphanumeric Data Entry
- Advanced: 10-Key
- Intermediate: Spreadsheet
- Basic: Accounting, Contact Management, Word Processing/Typing
