Job Summary:
We’re seeking an experienced and detail-oriented Administrative Assistant to support our Buying/Purchasing team. This role is ideal for someone with a strong background in accounting and a keen eye for resolving invoice discrepancies. You will be instrumental in ensuring accuracy, compliance, and timely communication between purchasing and accounting functions.
You Will:
- Review and reconcile vendor invoices against purchase orders, receipts, and contract terms
- Identify, investigate, and resolve invoice discrepancies in coordination with the purchasing and accounting departments
- Maintain accurate records of invoice adjustments, credit memos, and payment status updates
- Provide administrative support to the Senior Buyer and Director of Purchasing, including preparing reports, handling correspondence, and scheduling meetings
- Assist with data entry and system updates for vendor pricing, freight terms, and SKU changes
- Support month-end processes, vendor audits, and internal reporting requirements
- Communicate directly with vendors and internal teams regarding billing questions, payment timing, and document submission
- Help onboard new vendors by collecting and organizing necessary documentation
You Have:
- 2–3 years of administrative or accounting support experience, preferably in a purchasing or distribution environment
- Working knowledge of invoice matching, accounts payable, and basic accounting principles
- Strong organizational and time-management skills
- Ability to handle sensitive data and maintain confidentiality
- Excellent communication skills and a team-player mindset
- Proficiency in Microsoft Office (especially Excel); ERP or accounting software experience a plus
