We are seeking a highly organized, detail-oriented, and proactive Executive Administrative Assistant to provide comprehensive support to our Executive Team. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Administrative Assistant will act as a key partner with internal and external stakeholders, ensuring seamless coordination of schedules, communications, preparing presentations and reports, coordinating travels and events, and performing administrative functions that enable leadership to focus on strategic initiatives. This is a hybrid position that requires at least two days in the office, at our Burr Ridge office location.
Key Responsibilities:
- Provide high-level administrative support to executives, including calendar management, travel coordination, meeting preparation, and expense reporting.
- Serve as the primary point of contact between executives and internal/external stakeholders, handling communications with professionalism and confidentiality.
- Draft, review, and manage correspondence, presentations, reports, and other documents as required.
- Organize and prepare for meetings, including scheduling, agenda development, logistics, and distribution of materials.
- Coordinate special projects, research assignments, and follow up on action items to ensure timely completion.
- Maintain accurate records, files, and databases to support executive needs.
- Anticipate executive needs and proactively address operational or scheduling challenges.

Requirements
Qualifications and Required Skills:
- Associate or Bachelor’s degree in Business Administration, Communications, or equivalent, required
- 5+ years of administrative support experience, with at least 3 years’ experience supporting senior-level executives.
- Exceptional organizational and time management skills with the ability to prioritize effectively.
- Strong written and verbal communication skills are highly required
- Bilingual English and Spanish, preferred but not required
- High degree of professionalism, integrity, and discretion in handling confidential information.
- Flexibility to adapt and manage multiple properties in a dynamic and ever-growing work environment
- Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Zoom, Teams, Google Meet, etc.).
- Ability to work independently and collaboratively, demonstrating flexibility and problem-solving skills.
- Must possess a strong work ethic, follow-through mindset, and a drive for results.
