    Job Summary:

    Rochester Public Schools - ISD #535 is seeking a dedicated and organized individual for a part-time (0.5 FTE) Administrative Assistant or Program Support Specialist role within the Office of Family Engagement and Youth Empowerment. This position provides essential administrative and logistical support to ensure the smooth operation of American Indian Education, youth empowerment initiatives and family engagement programs.


    Key Responsibilties:

     
    • Provides general clerical support for the department.
    • Coordinates calendars and meeting requests/schedules
    • Answers the department phone line and routes calls to appropriate staff members or assists with incident response as needed.
    • Manages the department purchasing card, including submitting and reconciling transactions.
    • Processes mileage and travel reimbursements as needed.
    • Updates department web pages.
    • Tracks and manages department accounts. 
    • Handles administrative tasks such as managing data entry and record keeping (tracking student participation, feedback, and attendance), coordinating resources (ordering and organizing supplies, promotional materials, and printed resources), and managing scheduling and calendars for meetings with students, staff, and community partners, including sending meeting reminders and agendas
    • Manages Student School Board logistics, which includes coordinating meetings and schedules, communicating with student participants and ensuring follow-up, fostering collaboration with other districts that attend Student School Board meetings, and collaborating with Student Nutrition Services on meals and billing for student events, as well as with the Transportation Department to arrange travel logistics. 
    • Supports community and district partnerships by supporting connections with neighboring school districts and maintaining communication to share resources and strengthen collaboration.
    • Assists with college visit and field trip planning, including scheduling tours, making arrangements for transportation, managing student sign-ups, and contacting college admissions offices.
    • Maintains the digital presence of Youth Empowerment by contributing to the Youth Empowerment website and helping update and maintain online content.
    • Assists with financial tracking, such as setting up budget monitoring spreadsheets, processing purchase orders (e.g., TalkingPoints PO), and entering mileage reimbursements
    • Aids in conference and travel logistics, including assisting with conference registration, reimbursement processes, and making hotel reservations.
    • Provides administrative and logistical support to the Family Engagement Coordinator as needed, including assistance with professional development arrangements and family engagement liaison agreements. 
    • Assists with agreement processes, including the Adobe Sign process with Family Engagement Liaison agreements and CAPE Facilitators.
    • Supports the compensation process of CAPE Facilitators and assists with compensation of Family Engagement Liaisons.
    • Supports School Board presentations by uploading documents into Simbli.
       
    Qualifications: 
     
    •  Bachelors or associate’s degree or equivalent experience.
    •  Computer and word processing experience, secretarial experience, must have the ability to prioritize, organize, work independently, and maintain confidentiality of all information handled in office.
    •  Ability to be flexible with changing schedules and work assignments.
    •  Strong communication skills on the phone and in person.
    •  Strong writing and editing skills.
    •  High level of cultural competence
