Position Overview | The logistics coordinator performs and oversees a variety of general assignments to ensure colleagues have the support required to successfully fulfil the Foundation’s mission. Specifically, this position supports Sales, Marketing, Curriculum, and Account Engagement in various tasks and duties. The logistics coordinator manages all aspects of the mail room and is responsible for managing and organizing the inventory of program-related materials for shipping to specific programs and their breakdown upon return. During Close Up’s program season or when special programs are conducted, this person may be required to adjust their work hours and work on weekends and/or observed holidays to meet the requirements of the Foundation and ensure the successful running of program. 


Essential Duties and Responsibilities 

  • Be responsible for the setup, breakdown, organization, and monitoring of materials being delivered to and returning from Close Up programs, ensuring everything is properly labeled and all items have been accounted for and counted.
  • Schedule pick-up and delivery of courier services in connection with the transportation of program materials and communicate the schedule with appropriate staff members.
  • Monitor the pick-up of items to ensure all items have been successfully picked up each program delivery day.
  • Manage the postage machine and coordinate all FedEx, UPS, and USPS mailings.
  • Build, pack, ship, track, manage, and receive, and distribute a variety of materials, packages and, deliveries, including but not limited to marketing fulfillments and all conference and special event materials.
  • Order and manage all office supplies.
  • Organize the office and maintain an inventory of student/teacher guidebooks, backpacks, mail supplies, nametags, and diploma paper.
  • Provide general administrative and clerical support to all function areas throughout the Foundation.
  • Assist with facilities maintenance tasks when needed.
  • Provide coverage for the front desk as needed.
  • Ensure the general supply room, copy room, and prep room are all stocked and organized at the end of each business day.


Qualifications | Full training is provided for this position. But we ask that you have: 

  • A high school diploma or general education degree (GED); or 2-3 years related experience and/or training; or equivalent combination of education and experience.
  • General understanding of Office 365, including but not limited to OneDrive, SharePoint, Excel, and Word.
  • Reliability and dependability.
  • An ability and willingness to be highly organized and detail-oriented and maintain a flexible work schedule.
  • A valid driver’s license.
  • The ability to frequently lift and/or move up to 50 pounds.
