This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening the community through youth development, healthy living, and social responsibility. The Payroll & Benefits Specialist is responsible for accurately managing payroll processing, benefits administration, and related employee programs for YMCA staff, including retirement plans (403(b) and 401(a)), unemployment benefits, and workers’ compensation. This role ensures compliance with all applicable regulations, maintains accurate employee records, and serves as the primary resource for payroll, benefits, and related inquiries. The Specialist will collaborate closely with HR and Finance to support seamless operations, uphold confidentiality, and provide exceptional service to employees at all levels.

Responsibilities:Operations
● Oversee and manage the complete payroll process, including accurately calculating wages, bonuses, commissions, and deductions.
● Ensure all payroll transactions are processed accurately and in a timely manner, including new hires, terminations, and changes to employee information. Prepare and distribute payroll reports, statements, and summaries for management and employees.
● Administer employee benefits programs, including enrollment, changes, and terminations.
● Manage YMCA retirement plans, including 403(b) and 401(a) accounts, ensuring accurate contributions and compliance with plan requirements.
● Oversee unemployment benefits processes, including claims management and communication with state agencies.
● Administer workers’ compensation claims, including reporting, documentation, and coordination with insurance providers.
● Serve as the primary point of contact for employees regarding payroll and benefits inquiries, providing excellent customer service and resolving issues promptly.
● Maintain and update employee records to ensure accuracy of payroll and benefits data.
● Ensure compliance with federal, state, and local regulations, and monitor changes in laws and regulations related to payroll and benefits.
● Collaborate with HR and Finance departments to reconcile payroll and benefits data, resolve discrepancies, and ensure accurate reporting.
● Assist in the development and implementation of payroll and benefits policies and procedures.
● Support the annual benefits open enrollment process, including communication to employees and coordination with benefit vendors.
● Incorporate “Caring, Honesty, Respect, Responsibility” into all aspects of the position, to ensure YMCA values are promoted and adhered to.
● Maintain a consistent professional image through dress, actions, and relationships with others. Speak enthusiastically on behalf of the YMCA at given opportunities.
CHILD ABUSE PREVENTION:
I will support the YMCA of the Pikes Peak Region’s commitment to child abuse prevention by:
● Reporting any suspicious behavior and violation of policy and procedures to your supervisor
● Following all policies and procedures related to keeping children safe in our facilities and programs, including those related to the monitoring and supervision of children
● Completing all child abuse prevention training as required
● Reporting any items that may provide a health or safety hazard to staff, members, or guests to your supervisor

Qualifications:● Bachelor’s degree in accounting, finance, human resources, or a related field.
● Proven experience as a Payroll and Benefits Specialist or in a similar role.
● In-depth knowledge of payroll processing, tax regulations, and benefits administration.
● Experience managing retirement plans (403(b) and 401(a)), unemployment benefits, and workers’ compensation.
● Strong understanding of HR and payroll systems, software, and processes.
● Excellent attention to detail and accuracy, with the ability to perform complex numerical calculations.
● Ability to maintain strict confidentiality and handle sensitive employee information.
● Exceptional organizational and time management skills, with the ability to meet deadlines.
● Effective communication and interpersonal skills to interact with employees at all levels.
● Proficient in using payroll software.
● Certified Payroll Professional (CPP) certification is a plus.
PHYSICAL DEMANDS:
● Ability to remain in a stationary position for extended periods of time while working at a desk or computer.
● Frequent use of hands and fingers to operate a computer keyboard, mouse, and other office equipment.
● Ability to communicate effectively, both verbally and in writing, with employees and external partners.
● Occasional lifting and carrying of files, documents, or office supplies weighing up to 20 pounds.
● Visual acuity to review and analyze data on computer screens and printed materials.
● Ability to move within the office to access files, equipment, and attend meetings.
● Occasional standing, bending, or reaching as needed to complete tasks.
● Ability to work in a standard office environment with moderate noise levels.
