Reporting To: Sales Experience Coordinator
Position Overview:
The Powder Haven Office Assistant plays a key role in supporting the daily operations of the Powder Haven Sales Team, ensuring a seamless and professional experience for prospects and reservation holders. This client-facing position includes greeting and assisting walk-ins, helping with the coordination of prospect visits, preparing sales materials, and managing logistics both in the office and on the mountain. The ideal candidate is highly organized, tech-savvy, and service-oriented, with strong communication skills and the flexibility to work weekends and evenings. This role requires a polished presence and the ability to thrive in a fast-paced, team-driven environment.
Key Responsibilities:
Powder Haven Sales Office Support
- Greet prospects and walk-ins
- Package and ship gift packages
- Monitor cleanliness and charge of Rivians
- Answer and monitor department phone lines
- Use Hubspot, Google Workspace, Asana to organize and manage prospect visits
- Escort prospects up the mountain
- Provide rides for prospects on short-notice
- Build sales kits
- Tidy the sales office
- Inventory and organize swag
- Build swag bags
- Help organize details of prospect visits
- Run errands for the department
- Act as the main point of contact in the sales office during the weekends
- Work closely with the entire sales team
Prospect Check-ins
- Communicate with prospects
- Effectively communicate with other teams
- Assist with prospect app and give directions
- Follow check-in procedures
- Enter all data collected during the check-in process into Hubspot
Special Projects
- Expense reporting
- Hubspot
- Others as needed
Requirements and/or Qualifications:
- Bachelor’s Degree or Associates Degree - preferred
- High school diploma or GED - required
- Professional interest in Real Estate and Sales
- 2+ years of experience in hospitality, sales, and/or client relations
- Willing to work evenings and weekends
- Maintain a polished, professional appearance
- Clean driving record
- Ability to drive an electric SUV on steep roads and in inclement weather
- Willing to work flexible hours
- Work in a tight-knit team environment
- Google Workspace
- Clear communication with team members and other teams
- Receive feedback and make adjustments
- Greet clients, provide service, and assist with their needs
- Organization and attention to detail
- High-level interpersonal skills
- Quick to learn new software programs
- Ability to follow systems and procedures
Physical Requirements- Must be able to perform physical activities such as, but not limited to:
- Full range of body movements
- Reach, push, pull, lift, and carry objects that may be heavy (40+lbs)
- Prolonged periods of standing, walking, bending, and twisting
- Walk on even/uneven/slippery terrain
- Climb/descend stairs/ladders
