The Lourdes University Office of the President seeks a Scheduler and Administrative Coordinator to support and provide timely and accurate information used in the planning of the President’s daily on and off campus schedule. This position directly supports the President and works closely with the Executive Administrative Assistant to the President and Provost. The Scheduler and Administrative Coordinator acts as the front-line greeter for guests to the President’s Office and is responsible for communication from the Presidents Office to the University Community, Cabinet and Board of Trustees. This position will work in a fast-paced, highly visible department that requires an expertise in handling sensitive and highly confidential information.


Responsibilities:

  • Presidential Calendar Management and Scheduling
  • Acts as liaison between the Office of the President and other campus offices under the direction of the Executive Administrative Assistant to the Provost and President.
  • Coordinates and manages the complexity of the President’s calendar daily with complete accuracy of information that is shared with the President to prepare for meetings, speeches, presentations and general communication with internal and external constituencies.
  • Works independently but consults when appropriate with the President and Executive Administrative Assistant to define importance, necessity and time sensitivity of requests for the President’s schedule.
  • Excellent communication skills and ability to multi-task.
  • An appreciation and understanding of higher education and/or non-profit organizations

Requirements

  • Bachelor’s Degree or equivalent combination of education and experienc
  • 4-6 years of experience providing administrative support to senior level executives
  • Excellent written, oral and interpersonal communication skills
  • Technological proficiency and experience with Microsoft Office
  • Experience in organizing, prioritizing, coordinating and scheduling for one of more senior level executives using both electronic calendaring software and manual systems.
  • Ability to plan and execute arrangements and logistics for on and off campus meetings
