Description

Provides support and assistance to Trust Department staff for delivery of trust services and operations. Understands and completes job responsibilities in accordance with federal and state compliance regulations.


Principal Duties and Responsibilities: 

Operational Support 40%

  • Verifies transactions on the trust accounting system relating to client accounts 
  • Conducts daily balancing of Trust Department accounts (i.e. checking and suspense accounts)
  • Opens and closes Trust accounts; maintains account files
  • Manages and distributes account ticklers
  • Fulfills Freddie Mac custody requirements: maintains files; oversees deposit, release and certification process; completes the quarterly report and annual audit; oversees the disaster recovery procedure
  • Processes and coordinates monthly fee income from Trust accounts
  • Handles mail, client walk-ins, phone calls and follows up as necessary
  • Prepares documents for Probate Administration of Estates, including the inventory and final account
  • Serves as primary back-up to Trust Operations Specialist


Assists with Meeting Preparation 25%

  • Compiles reports for the Trust Investment Committee (TIC) 
  • Prepares and compiles the meeting materials for the Trust Administration Committee (TAC) and the Trust Committee of the Board (TCB) 


Provides Administrative Support 20%

  • Coordinates and monitors annual account review function
  • Oversees the electronic filing of client tax returns and annual statements 
  • Coordinates the annual fee letters and any additional mailings throughout the year
  • Assists with the Department’s audits and exams in both data gathering and tracking of result responses
  • Coordinates and monitors client authorizations, requests, and follow-up as assigned


Additional Duties and Responsibilities 15%

  • Participates in internal and external training and development opportunities as required
  • Maintains general office functions including ordering supplies and working with vendors
  • Other duties as assigned


Requirements

Work Relationships and Scope:

Reports to VP Trust Manager. Works regularly with clients and co-workers. Works regularly with suppliers and vendors. Works regularly with highly confidential business and client information. Occasionally participates in bank committees and events.

Knowledge, Skills and Abilities:

Requires a four-year degree or two -year degree with relevant employment history. One year of accounting related experience preferred. Two years trust or banking experience required. Must possess courteous and professional customer service attitude; excellent verbal and written communication skills for interacting professionally with clients (both pleasant and difficult situations) and relating to other co-workers; ability to maintain the integrity of highly confidential client and Bank information. Must possess strong mathematical skills (add, subtract, multiply, divide, fractions, percentages, and decimals); strong computer skills, fully verse in the Microsoft suite; technical ability to input and retrieve computerized information; legible handwriting; ability to deal effectively with time pressures and stress that can change hourly depending on level of activity; effective problem solving and research skills. Must be a self-starter and independent thinker.


Working Conditions:

Work is performed largely in an office environment with minimal chance for personal injury. Regular mental and visual concentration for computer usage required. Regular use of telephone. Frequent repetitive use of keyboard for approximately 5 hours per day; frequent fingering and grasping of papers. Requires ability to receive and provide detailed information through verbal communication. Requires near- and mid-range vision. Will alternate sitting, standing, and walking throughout work shift. Bend, stoop, turn, lift and carry up to 10 pounds in documents and office supplies. Climb stairs. Work is performed generally during regular business hours with minimal expectation of overtime.


Equipment Used:

Operates personal computer in a Windows environment for word processing, spreadsheets, e-mail, internet, and other bank specific software. Utilizes a variety of office equipment including computer printer, ten-key calculator, fax, copy machine, typewriter, check machine, and multi-line telephone.
