SUMMARYJoin Andersen as an Administrative Assistant II supporting our Vice President of Communications & Community and providing secondary support to additional leaders within our Human Resources department. This individual will enhance the team's productivity and engagement by managing schedules, coordinating meetings and travel, processing expenses, and contributing to impactful events and presentations. You’ll be at the heart of our communications efforts and community engagement, playing a key role in bringing our values to life.PRIMARY RESPONSIBILITIESMaintain calendars and schedule; work with other leaders or administrative assistants for scheduling.  Handle highly sensitive and confidential information on a regular basisSchedule, prepare environment, and serve as primary contact for meetings; create documents for meetings (e.g., agenda, handouts, etc.); complete, store and distribute meeting minutes or notes as required; follow through on action items as appropriate.  Assist with development of presentations for meetings and events, including slide aggregation, formatting, graphic design support and content managementAssist with preparation, coordination and execution of community relations events, including volunteer activitiesManage administrative files (hardcopy and electronic) following legal retention requirements, as appropriate (e.g., AW Records Management Process)Coordinate travel arrangements and completion of expense reportsFacilitate appropriate internal invoicing and payment processes (e.g., invoice processing, payments, time reporting); review expenses against budget and take steps to correct issues as needed.Maintain office space, including assistance with workspace management, office supplies, equipment, and other materials as neededAct as liaison to internal and external business partners, including high-level staff; regularly interact with executives in and outside of AndersenCoordinate and complete special projects as assignedMaintain standard work for positionOther duties as requiredMUST HAVE QUALIFICATIONSAssociate degree or equivalent preferred3 years of experience with increasing levels of responsibilityStrong communication skillsConducts themselves with a high degree of poise, business etiquette, and discretionStrong organizational and coordination skillsExcellent computer skills including spreadsheet, presentation, work processing, email, schedule management, and associated softwareAbility to manage multiple and/or time dependent activitiesFlexibility, cooperation, and negotiation skillsCustomer focusEvent and meeting planning experienceGraphic design / PowerPoint presentation development experience a plus COMPENSATIONPay is based on several factors including but not limited to work experience, education, geographic location, certifications, etc. Your recruiter can share more about the specific compensation package for your preferred role during the hiring process. Successful candidates in this role are expected to earn between $45,344 - $65,728.
