Position purpose - Responsibilities/Duties/Functions/Tasks

The purpose of this position is to attend to visitors and respond to inquiries on the phone and face to face. The receptionist supplies information regarding the organization to the general public, clients, and customers.

·        Answers telephone and screens and directs calls

·         Takes and relays messages

·         Provides information to callers

·         Greets persons entering organization

·         Directs persons to correct destination

·         Deals with queries from the public and customers

·         Ensures knowledge of staff movements in and out of organization

·         Provides general administrative and clerical support

·         Prepares letters and documents

·         Receives and sorts mail and deliveries

·         Schedules appointments and organizes meetings

·         Maintains appointment diary either manually or electronically

·         Tidies and maintains the reception area

Qualifications

·         Basic reading, writing, and arithmetic skills

·         Strong attention to detail

·         Strong communication skills, both written and oral

·         Ability to effectively and professionally handle difficult situations that may arise when working with branches/divisions

·         Ability to multi-task

·         Knowledge of computers and relevant software applications, including Microsoft Office applications

·         Familiarity with Accounting terms and procedures (e.g. debits, credits, General Ledgers, etc.)

·         High school diploma

·         Knowledge of administrative and clerical procedures

·         Knowledge of customer service principles and practices and of telephone protocol

Preferences

·         Ability to type 50 wpm

Work Requirements

Each employee must be able to communicate clearly and effectively, utilize a computer, maintain a work schedule, and effectively perform in an office setting.  To maintain and ensure secure privacy of borrower (and other protected) information, an essential function of this job may require physical attendance in a defined office space. (i.e. branch or corporate office location).  Employment with PRMI requires compliance with and adherence to all applicable mortgage and fair lending laws and regulations as well as PRMI policies. The ability to work extended hours may be required.
