Under supervision of the Director of Licensed Officials, this position works closely with USEF staff and Recognized Affiliates to develop educational materials for licensed official applicants and current licensed officials. This responsibility includes developing quality education curriculums and creation of online-based education systems. In addition to clinic development and management, this position also collaborates with the FEI to host U.S.-based clinics by securing venue locations, coordinating travel and expectations with clinicians, and providing communication updates to U.S. officials. Developing and tracking budgets for education expenses is a key component of this role. This position liaises with various USEF departments on all topics related to education, clinics, and exams.
Duties and Responsibilities:
General
- Assists with data entry and review of program files as necessary.
- Provides customer service to staff, members, and officials via telephone, e-mail, and other written communication.
- Manages expense reporting and purchase order processing for the department.
- Facilitates updates to the department’s standard operating procedures for education programs.
- Works on other special projects, performs research, or completes other duties as assigned.
Clinics
- Develops curriculum and educational materials including online lessons, in-person clinic materials, and webinars.
- Facilitates scheduling and organizing clinics hosted by USEF or FEI courses within the U.S., specifically:
- Develops and maintains budgets for each clinic hosted by USEF.
- Maintains accurate clinic records for attendance and document retention.
- Communicates with clinicians regarding clinic details and curriculum.
- Meets deadlines for FEI clinic application deadlines.
- Coordinates with venue locations and third party service providers for event needs.
- Travels to clinics to provide logistical support.
Exams
- Develops or updates examinations for licensed officials in coordination with Recognized Affiliates, USEF Committees, or USEF Staff.
- Reviews all exams for accuracy, fairness, and clarity.
- Hosts and maintains exams by creating quizzes/exams, providing licensed officials with access, and monitoring submissions.
- Answers inquiries from licensed officials regarding exam questions or completeness.
Goals and Objectives:
- Incoming information is promptly addressed, correctly communicated, and directed to the appropriate person.
- Internal and external communications are accurate, effective, and professional.
- Deadlines are met as required and projects are effectively managed within budget.
- Customer service is effective and positive to support officials, Recognized Affiliates, and USEF’s mission.
- Clinics are appropriately organized and professionally facilitated.
- Exceptional member service is provided, and member relationships are enhanced.
- Relationships with staff are productive and promote a positive team environment.
- Assistance is provided to other department members when needed.
Required, Knowledge, Skills & Abilities:
- Fluent in the use of standard office equipment, Microsoft Office applications, and Google products (Drive, Docs, Forms, and Slides).
- Excellent organizational, oral, and written communication skills.
- Detail-oriented and ability to work in a team environment with minimal supervision.
- Some travel and extended hours of availability are required.
Education and Experience:
- High School diploma or equivalent preferred.
- Some college preferred.
- At least two years of secretarial, administrative, or event management experience required.
- Experience in education and developing curriculums preferred.
- Knowledge of the equine industry and USEF rules preferred.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 10 pounds and occasional lifting and/or moving up to 25 pounds. (Anything over 25 pounds requires a two person lift)
