The Quality and Compliance Specialist plays a key role in upholding the quality, compliance, and security standards of MedPro Systems and the Quality Management Team (QMT). This position is responsible for developing, reviewing, inspecting, and managing documentation to ensure alignment with internal policies, operational procedures, and industry regulations.


The Quality and Compliance Specialist supports the full lifecycle management of standard operating procedures (SOPs), and internal audits. Additionally, they support the Director of Quality and Compliance in maintaining certifications, participating in customer audits, and assisting with the completion of vendor questionnaires/requests for proposal.


ESSENTIAL DUTIES AND RESPONSIBILITIES

SOP & Documentation Management

  • Develop, revise, and maintain Standard Operating Procedures (SOPs) and training materials for internal operations and contractually provided services.
  • Regularly review company documents and QMS materials to ensure clarity, consistency, and compliance.
  • External Audits, Certifications, and Questionnaire Support
  • Coordinate evidence collection to facilitate maintenance of MedPro’s external certifications and audits (SOC 2, ISO, etc.); collaborate internally to gather materials and respond to questions and externally with auditors.
  • Participate in customer audits, requests for proposal, and security/vendor questionnaires to provide quality materials and insights.
  • Support risk and issue escalation and communication as needed.
  • Assist with the implementation of feedback from audits, questionnaires, and customer reviews, including corrective and preventive measures.

Internal Audit Support

  • Support internal audits to ensure adherence to controls related to user access, data quality, documentation, and training.
  • Track and implement follow-up actions based on audit findings and security tasks.
  • Cross-Functional Collaboration
  • Collaborate with compliance, regulatory, and legal teams on data privacy, security, and governance topics.
  • Participate in internal committees related to security and privacy, as requested.
  • Special Projects & Technical Documentation
  • Lead company-wide projects related to process and procedural documentation.
  • Contribute to the development of regulatory, technical, and customer-facing content, including communications and website materials.

Professional Development & Representation

  • Engage with industry organizations to stay current on best practices and share knowledge internally.

Requirements

EDUCATION/CERTIFICATION

  • Bachelor’s degree preferred.


JOB QUALIFICATONS

  • Excellent oral and written communication skills.
  • Strong decision-making and problem-solving abilities.
  • Confident in presenting to internal and external stakeholders.


YEARS’ EXPERIENCE

  • Minimum 5 years of professional experience post-college.
  • At least 2 years of experience with QMS processes and documentation.
  • Experience with external certifications (ISO 9001 and 27001 certifications, SOC 2 audits, and the NIST Cybersecurity Framework) preferred.
  • Project coordination experience preferred.


TECHNOLOGY/SOFTWARE KNOWLEDGE

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Proficient in QMS platforms such as ACE Essentials or MasterControl, and Hyperproof.
  • Working knowledge of Atlassian tools, including Jira and Confluence, preferred.

  • 10%


PHYSICAL REQUIREMENTS

  • Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. 
  • The individual is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer screen and extensive reading. The individual in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. The individual must be able to remain in a stationary position 70% of the time.
