The Position
The Licensing and Operations Administrative Clerk supports the Operations and Licensing Department by performing a variety of administrative tasks and insurance producer licensing functions to ensure company and employee compliance with internal policies and external regulations. This role is responsible for managing licensing processes, assisting with day-to-day administrative operations, and maintaining accurate records and documentation. The position requires strong attention to detail, organizational skills, confidentiality, and the ability to work independently and collaboratively across departments.

Requirements
The Job:
- Assist with various day-to-day administrative and operational projects related to licensing, company operations and compliance with respect to insurance producer licensing.
- Assist with all aspects of agency and employee licensing including applications, renewals, terminations, name/address changes, agency affiliations, and state conversions.
- Track and monitor license expiration dates to prevent lapses and ensure ongoing compliance with respect to insurance producer state regulations.
- Maintain and record accurate licensing records and related documents in employee files and licensing tracking systems.
- Educate and support staff on licensing requirements, CE obligations, email signature formatting, and insurance producer compliance procedures.
- Manage the agency licensing email inbox, respond to carrier and regulatory inquiries, disperse renewal notices and CE transcripts and maintain communication documentation.
- Distribute reference materials, process licensing-related payments, and track licensing-related costs.
- Assist with maintenance and updates of standardized agency forms and documents within and outside of agency management systems.
- Provide support to the Operations Administrator as needed, demonstrating a willingness to learn and take on a wide range of tasks related to operations and compliance. This includes providing backup coverage, assisting with projects, audits, and contributing to both routine and ad hoc responsibilities to ensure smooth business operations.
- Contribute to office and building operations, including vendor communication, maintenance needs, and ensuring a well-maintained and efficient work environment.
- Perform other duties or assist with special projects as assigned.
Qualifications Needed:
- High school diploma or equivalent is required
- Minimum of one (1) year of related administrative, professional office/clerical experience required or equivalent combination of education and experience.
- Familiarity with insurance producer licensing or the insurance industry is a plus but not required.
