Field Operations Coordinator
National Headquarters, Memphis, TN (not remote)
Ducks Unlimited National Headquarters in Memphis, TN has an opening for a full-time (8am-5pm) Field Operations Coordinator. Field Operations Coordinators support the Regional Directors and volunteers in their fundraising efforts by assisting them with their needs. The position will report to the Manager of Event Support.

Responsibilities:
The Field Operations Coordinator (FOC) position interacts with most National Headquarters (NHQ) departments as well as field staff. An FOC must be able to work with multiple Regional Directors, Directors of Fundraising and Volunteer Relations, and Managers.
Event Management / Promotion
- Enter event proceeds and financial report management in database
- Assist staff and volunteers regarding financial reports
- Setup chapter events
- Reconcile credit card– declines, adjustments, write-offs
- Process refund requests
- Monitor and manage event accounts receivable
- Assist with online ticket set-up & maintenance
- Enter cash/check batch data
Event Merchandise
- Respond to and assist field staff / volunteers regarding merchandise availability, special offerings, and merchandise issues
- Order event merchandise
- Replace damaged items
- Assist staff / volunteers concerning merchandise tracking
- Administer and manage Federal Firearm Licenses in the database
- Report inventory depletion
Additional Team Responsibilities:
- Consult on software platform – staff / volunteers
- Take responsibilities at National Leadership Conference
- Update volunteer website
- Order office supplies
- Assist with annual IRS report – chapter tax ID numbers (verification process)
- Provide magazine audit information
- Oversee chapters’ charters
Constituent Responses
- Respond promptly to all “customer service” related inquiries generated by incoming volunteer communication
- Respond to NHQ 800-line voicemail and call transfers
Regional Director Inventory: RD inventory management – ordering / transfers
Volunteer Files: Assist with the maintenance and updating of volunteer files as needed
Support Materials: Place orders for all support materials as requested by staff / volunteers (recognition banners, brochures, dinner tickets, promo tubes …)
This position is on-site - not remote. The hours are 8:00 am to 5:00 pm.
