Job Summary
The Administrative Assistant will support and oversee various administrative activities for the Houston Safety department. He/she may perform duties including but not limited to coordinating safety orientation and other related training, uploading employee certification credentials, and ordering office supplies. As the Administrative Assistant he/she may be assigned special projects or other work functions.
Job Responsibilities
Coordinate with the HR and Safety department to handle the administrative preparation for weekly new hire safety orientation classes and other training classes.
Create, issue and track training certification employee badges
Responsible for uploading completed safety training certifications to E-compliance and other company files for record keeping
Maintain, review, and verify training records for safety orientation, including Boom Lift, CPR, OSHA and PIT
Coordinate and schedule safety training and notify attendees
Prepare, maintain, and complete timesheets associated with safety training and communicate to payroll and management
Provide administrative support for jobsite safety needs such as, but not limited to, creating safety folders, signs, tags, and compiling safety requirements as required for project specific requests
Order and maintain inventory of office supplies for the department.
Perform general administrative duties including but not limited to filing, mailing, faxing, and copying relative to safety training.
Assist with special company projects or initiatives as needed.
Job Requirements
Education
- High school diploma or GED.
Experience
- 1-2 years of relevant work-related experience in an office environment is required.
- Previous experience working for a construction or remodeling company a plus.
- Knowledge of MS Office suite (Excel, Outlook, Word, and Power Point)
- Demonstrated ability to apply critical thinking skills
- Demonstrated ability to handle multiple tasks simultaneously

- Strong organizational skills
- Bilingual English/Spanish required

Able to work overtime (scheduled and/or unscheduled, nights and/or weekends) as needed or required to meet established deadlines.
Able to work in fast paced environment with high daily pressure to meet deadlines.
Able to perform work indoors in an office environment, regardless of whether cubicle, open office or private office.
Physical Requirements
Able to demonstrate the manual dexterity to operate a personal computer effectively.
Able to communicate orally in a clear manner.
Able to hear oral communication either in person or on equipment such as telephone or mobile phone.
Able to operate a personal computer, either desktop or laptop, for extended periods of time creating, composing and reviewing documents and spreadsheets.
Able to operate office equipment, including telephone, mobile phone, photocopier, fax machine, scanner and calculator.
