We have an opening at our Tulsa locationThe role of Clinical Administrative Assistant requires an associates degree or equivalent (Baccalaureate degree preferred). Minimum four years' experience supporting a Director, or similar senior-level executive required. A high level of independent planning, judgment and problem-solving skills. Demonstrated ability to work with executives and to coordinate a high volume of diverse assignments, effectively handle competing priorities, and maintain attention to detail. Related and appropriate educational training may be substituted for years of work experience.


The starting hourly rate for Clinical Administrative Assistant is $20.40 an hour.

Counseling & Recovery Services of Oklahoma provides mental health and substance abuse treatment, physical health care management and wellness services for over 5,000 children and adults annually. We are Oklahoma's only community mental health center certified in the Sanctuary model of care. Due to tremendous growth, we are hiring a Clinical Administrative Assistant at our Tulsa location. Special Knowledge, Skills and Abilities:

  • Excellent skills in business office procedures, e.g. project organization, scheduling, filing, etc.
  • Proficient utilization of Microsoft Office applications, including creating new complete report formats.
  • Ability to effectively prioritize multiple projects and manage deadline pressure with consistency and efficiency.
  • Must have the ability to lead special projects as needs arise to accomplish pre-determined outcomes.
  • Ability to evaluate situations and adopt an effective course of action, delegate responsibilities, organize and present facts effectively.
  • Excellent organizational skills and high level of public relations skills.


Example of Position Responsibilities:

  • Will manage the day-to-day administrative affairs of the Clinical Director's office. Schedule appointments and other commitments. Provide the Clinical Director with background information and/or supporting documents in preparation for scheduled appointments, meetings, conferences, interviews, etc. Follow up with staff to ensure deadlines are met.
  • Maintain an efficient flow of information between all levels of the Director's internal and external contacts on a wide spectrum of the organization's plans and priorities.
  • Screen incoming calls to the Clinical Director, determining the nature of the call and whether or not it requires the attention of the Clinical Director. Whenever possible, respond to the caller directly based on knowledge of the Clinical Director's preferences, office functions, policy, priorities, availability, etc.
  • Prepare meeting notes for the board-committee meetings, e.g. gathering information from the ETPS measures.
  • Review, proofread, and format correspondence prepared for the Clinical Director's signature to ensure accuracy and completeness, etc. as well as consistency with organizational policy.
  • Work closely with directors, leadership, program directors, and managers in annual strategic planning.
  • Make and review travel arrangements for the Clinical Director; prepare the itinerary, confirm lodging and transportation, and process travel reconciliation as needed.
  • Manage and complete the process of maintaining Board Policies and Administrative Procedures.


Other Duties: Perform other duties as assigned by the Clinical Director.


Physical Requirements: Must be able to move from location to location, bending, stooping, lifting 25 pounds, communicate clearly, prepare written communications, present information to other employees, process complex information within established procedures/programs, enter data to various programs. Must be able to climb stairs and access non-handicapped equipped residences/facilities.
