Position Summary:

The Sales & Events Coordinator will play a key role in supporting the sales team in driving business growth and ensuring smooth operations for all sales-related activities. This individual will handle administrative tasks, manage client relationships, assist with event coordination, and contribute to achieving sales targets in a fast-paced and dynamic environment.

Key Responsibilities:

  • Assist the Sales & Events team with lead tracking, CRM management (TripleSeat) and database upkeep to ensure accurate and up-to-date client information.
  • Serve as a primary point of contact for Sales & Event clients; responding to inquiries, providing property details, and assisting in converting leads into confirmed bookings for events, groups, and individual reservations.
  • Service Groups including entering rooming lists, handling billing, VIP requests, Group Resumes, etc and assist with event coordination, including detailing BEOs and ensuring allclient needs are met.
  • Support the sales team with administrative tasks, including but not limited to creating reservations, entering bookings, updating arrival reports, preparing proposals, presentations, contracts, and travel agency commissions.
  • Support the Marketing team with coordinating regular Programming Events.
  • Coordinate interdepartmentally with front office, catering, and operations to ensure smooth event execution and exceptional guest experiences.
  • Prepare sales reports to track booking trends, revenue generation, and other performance indicators, ensuring accurate data reporting.
  • Conduct site inspections and assist with familiarization tours for clients and sales-related contacts.
  • Support the creation and distribution of promotional materials and assist in executing sales campaigns to drive brand awareness and lead generation.
  • Provide exceptional client service, ensuring all interactions reflect the luxury standards of the hotel.

Education & Qualifications:

  • Previous experience in a sales or customer service role, preferably in hospitality or event coordination.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM software (e.g. TripleSeat).
  • Ability to work independently as well as in a team environment.
  • Attention to detail and a strong problem-solving mindset.
  • A passion for hospitality and customer service.
  • Knowledge of hospitality industry trends and practices, preferred.
  • Experience with event planning and coordination, preferred.
  • Prior experience in the Palm Springs market or with luxury properties, preferred.

Working Conditions:

  • Primarily office-based with occasional site visits and event coordination across the properties.
  • Full-time, typically 40 hours/week, with occasional evening or weekend shifts during peak times or events.
  • Light physical activity, including walking between property areas and occasional lifting of event materials. Mostly desk work with a focus on computer tasks.
  • Regular interaction with internal teams and clients, requiring strong communication and professional appearance.

    Ability to handle multiple tasks, deadlines, and high-pressure situations in a fast-paced environment.
