As part of the Student Information Services Team, the post holder will contribute to, and support the work of the Admissions and Retention, Student Records and Timetabling services which record and support the student through their College learning journey.

Key Responsibilities

The main activities of the post to be undertaken by the post holder will include:
  • work as part of Student Information Services Team to support the administration of the College’s Student Information system;
  • make effective use of College software to record and manage student and course information;
  • process all new applications, both online and paper copies, entering data as required;
  • maintain accurate records of student enrolment, attendance and attainment, entering data as required;
  • liaise with lecturing managers to ensure the efficient utilisation of the College’s staff and     room resource, entering data as required;
  • liaise with lecturing staff in regard to the collation, validation and input of student activity and attainment data;
  • liaise with lecturing and support staff in regard to the monitoring and response to student non-attendance or course withdrawal;
  • provide all correspondence relating to admissions from pre-entry stage to enrolment;
  • produce interview schedules, where applicable, in conjunction with faculty staff;
  • participate in pre-entry guidance interviews where applicable;
  • work effectively and collaboratively across the Sections of the Department to ensure a collective approach to managing the information needs of the student life cycle;
  • work collaboratively with other Departments to collect and provide student and course data;
  • provide general administrative support in the daily operation of Team, eg, system housekeeping, filing, etc.
  • deal effectively and efficiently with both online or telephone enquiries from both staff and students;
  • assist in the production of reports and other statistical returns;
  • produce leaflets, brochures and other resources and materials as required by the Department;
  • carry out any other relevant duties appropriate to the grade of the post allocated by identified Team Leader – Student Information Services and the Head of Student Information Services; and
  • undertake appropriate professional development to meet any needs which may subsequently be identified by the College’s career development review process.

Skills, Knowledge and Expertise

Knowledge:
  • Ideally educated to HNC (SCQF Level 7) level or equivalent; and
  • Evidence of Continuous Professional Development.
Demonstrable knowledge of
  • Student Records and Management Information Systems and processes within Scottish Further Education colleges e.g. Unit-e, Celcat; and
  • Qualifications, articulation routes and course structures.
Skills and Competencies
  • A high level of IT Skills, particularly keyboard and data processing skills;
  • A high degree of accuracy and eye for detail;
  • Ability to work under pressure, priorities workloads and meet deadlines;
  • A high level of customer care;
  • Ability to work on own initiative and as part of a team;
  • Good interpersonal, telephony, written and verbal communication skills;
  • Ability to communicate and deal with staff at all levels; and
  • Ability to work flexibly to meet the requirements of the service.
Experience:
  • College management information systems;
  • Working within a Further Education College or other educational establishment.
  • Administrating high volume data input processes; and
  • Maintaining robust systems, processes and procedures.
  • Relevant work experience with an FE support department is desirable.
