This role is based in our office in Rio de Janeiro. As a Senior Associate, you will report to the Associate Director – Fund Administration – Investor Services.

 

As a Senior Associate, you will play a pivotal role in managing key investor-facing processes for Catalyst clients. You will be responsible for overseeing the full lifecycle of investor transactions, wire payments, reporting, compliance documentation (AML/KYC), and providing top-notch client service. You will assist with investor onboarding, regulatory documentation, and maintaining strong client relationships. This role also involves working across teams, including Fund Accounting, Middle Office, and Compliance, to ensure smooth operations and adherence to Service Level Agreements (SLAs).

Your Daily Tasks 

 

The following are the tasks linked to the Core Responsibilities that will be expected as part of this role:
 

 

1. Investor Onboarding:


Includes (but not limited to) the following tasks: 


  1. Monitor the investor onboarding process, ensuring compliance with relevant regulations and assist the KYC Team whenever needed.

  2. Input and sometimes approve new investors into the RTA systems, following the guidelines stipulated in the Step-by-Step manual, making sure all relevant information is registered.

  3. Identify any gaps or deficiencies in the documentation and proactively communicate with clients to resolve them. Work with KYC Team to notify clients of any issues that could delay investor redemptions or distributions.

 


2. Investor Transaction Management & Reporting: 

Includes (but are not limited to) the following tasks: 


  1. Input or review investor transactions in the RTA system, ensuring all transactions are accurately captured and recorded.

  2. Review investor trade documents for completeness and verify that all necessary information has been provided. Follow up with clients and investors to resolve any issues or missing information promptly.


  3. Prepare or review investor statements ensuring they align with internal records and regulatory requirements. 


  4. Prepare or review wire payments before submission to treasury for processing, adhering to Catalyst’s Payment and Call-Back Procedures. 

  5. Ensure all investor-related reporting is completed on time and meets the required service level agreements (SLAs) set by the client.

  6. Ensure thorough and accurate documentation of all new investors, transactions, communications, and approvals within the internal online environment. Adhere to established naming conventions and utilize provided checklists to maintain consistency and compliance with internal processes.

 

3. Client Relationship & Query Management:

Includes (but are not limited to) the following tasks: 


  1. Serve as a key point of contact for clients, assisting with investor queries and ensuring a high level of service delivery. This includes responding to investor inquiries about their transactions, statements, or any issues they may encounter.

  2. Monitor the different channels of communication including, but not limited to, Teams, Investor Services inbox, Client distribution emails, and Core requests.


  3. Monitor the Customer Requests dashboard for pending items and action as needed.
    Maintain the dashboard to ensure request status stays up to date.

 

4. Collaboration with Fund Accounting & Middle Office Teams:

Includes (but are not limited to) the following tasks: 


  1. Work alongside the accounting team to ensure timely reconciliation of investor activity.

  2. Coordinate with internal teams to ensure smooth execution of fund-related activities, ensuring timely and accurate processing of capital calls, fund distributions, and transaction bookings in alignment with the fund’s NAV cycle.

  3. Help with the reconciliation of investor accounts and assist the Fund Accounting team in resolving any discrepancies related to investor activity.

 

5. Process Improvement & Technological Development:
 

Includes (but are not limited to) the following tasks: 


  1. Proactively identify opportunities for operational efficiency and process optimization, particularly in investor transaction processing, onboarding, and reporting workflows.

  2. Provide feedback to improve the functionality and user experience of Catalyst’s investor portal, working closely with the technology team to suggest enhancements that benefit clients and investors.

  3. Contribute to the user feedback process for Catalysts investor portal and other internal systems, identifying areas for improvement and making recommendations to streamline processes and improve functionality.

 

6. Strategic Initiatives & Industry Awareness:

Includes (but not limited to) the following tasks: 


  1. Ad-Hoc Support: Provide support on day-to-day requests and ad-hoc tasks as they arise, particularly in relation to client demands, investor queries, and new product development.

  2. Industry Insight: Stay up to date on industry trends, regulatory changes, and jurisdictional requirements to proactively address challenges or opportunities that may impact business or client services.

  3. Collaboration on New Products: Contribute to the creation and implementation of new products or services to meet evolving client needs and expectations.

 

7. Risk and Compliance Responsibilities (AML/KYC, FATCA/CRS):

Includes (but are not limited to) the following tasks: 


  1. Review incoming investor wire payments and ensure that any third-party or suspicious wires are flagged to Compliance for review and approval.

  2. Assist the Corporate Middle Office with the collection of FATCA/CRS and AEOI documentation in alignment with global regulatory requirements.

  3. Perform routine compliance checks and adhere to company risk and compliance processes and policies.

  4. Maintain organized records of investor-related documents and reports.

  5. Help monitor compliance tasks related to investors and assist with quality control processes.

  6. Track and manage compliance-related issues and follow up on resolutions.

  7. Collaborate closely with compliance colleagues to foster a culture rooted in strong governance and compliance.

  8. Communicate compliance requirements effectively within the team.

  9. Help implement compliance policies at the operational level.

  • Share insights to enable the development of new processes and procedures that will create business efficiency and support delivery of client excellence in service.
  • Maintain awareness of industry, regulatory, jurisdictional, and other trends that could affect the business.
  • Contribute to the creation, development and implementation of new products and solutions to accommodate the businesses continuously changing needs.
  • Collaborate cross-functionally with operations staff, business users, project, and implementation managers to achieve desired and elegant solutions.

  • Be innovative and maintain a client-centric approach, ensuring that meeting client needs remains the primary objective.

 

Required Skills & Experience
 

Are you excited? We are! Before we get too carried away, there are a few requirements you will need to check off before you can apply for the position: 

 

  • A bachelor’s degree or diploma in Accounting, Business Administration, Economics, Finance, or a related field.
  • A minimum of 3-5 years of professional experience in the Fund Administration industry, with a strong understanding of investor services, transaction management, and regulatory compliance.
  • Knowledge of Cayman Island Monetary Authority (CIMA) regulations and the most common fund structures.  
  • Knowledge of Delaware fund structures.
  • Knowledge of Cayman Islands AML/KYC procedures and operational compliance. Understanding of FATCA/CRS and AEOI regulations is essential.
  • Expert-level proficiency in Microsoft Excel, including advanced data manipulation, financial modeling, and report creation.
  • Excellent written and verbal communication skills in both Portuguese and English, with the ability to present complex information clearly and professionally.
  • Exposure to both open-ended and closed-ended fund structures, with a strong understanding of the differences in investor transactions and reporting requirements.
  • Proven track record in managing and building strong relationships with clients, particularly in a service-oriented environment.
  • Understanding of Master-Feeder structures, particularly involving Brazilian local funds and offshore vehicles, including the specific considerations related to transactions involving FX contracts.
