Summary:

The Travel Operations Coordinator supports the planning and coordination of SailGP related travel logistics, including accommodation, ground transport, visa data gathering, and associated administration. Working closely with the Global Travel Lead, Flight Operations Coordinator, and other team members, the role ensures accurate, timely, and policy compliant support for global events. This is a delivery-focused role suited to someone highly organised, proactive, and detail oriented.


Key Responsibilities:


Travel Coordination

  • Coordinate accommodation, ground transport, and immigration requirements for SailGP staff and contractors
  • Support flight coordination by working closely with the Flight Operations Coordinator
  • Maintain accurate records across manifests, trackers, and cost documents
  • Respond to travel enquiries, resolve booking issues, and ensure policy compliance
  • Manage travel-related documentation and support financial reconciliations

Visa and Immigration

  • Oversee SailGP’s seasonal immigration schedule and support event-level planning
  • Advise and support travellers on visa processes and requirements
  • Coordinate documentation, data collection, and guidance materials
  • Work with legal partners and internal teams to resolve immigration queries
  • Maintain clear records and country-by-country immigration overviews

Accommodation & Ground Transport

  • Coordinate hotel room allocations and ground transport planning per event
  • Track and update manifests; flag changes and escalate service issues promptly
  • Communicate with internal departments to confirm accurate requirements

Communication & Stakeholder Support

  • Issue pre-travel communications and confirmation packs
  • Respond promptly and professionally to stakeholder requests and questions
  • Liaise across departments to secure timely inputs and approvals
  • Flag policy exceptions or missing information that may delay bookings

Reporting & Documentation

  • Contribute to travel and immigration reporting and event debriefs
  • Ensure up-to-date documentation is maintained across platforms
  • Support process documentation and implementation of improvements

Key Expectations:

  • Coordinates all assigned travel activity accurately and on time, even during high-pressure delivery windows
  • Maintains a high level of organisation and clarity across trackers and internal communications
  • Proactively identifies delays or gaps in information and takes action to resolve or escalate
  • Communicates clearly and confidently with stakeholders, suppliers, and senior staff
  • Takes ownership of tasks from start to finish, following through without being chased
  • Remains calm, focused, and solutions-driven when priorities shift or information is incomplete
  • Comfortable working in a demanding and fast-moving environment where processes are still evolving
  • Lives SailGP's values and contributes to a positive, inclusive team culture

About You: 

  • Strong attention to detail and accuracy in handling time-sensitive data
  • Highly organised and reliable; able to manage competing priorities with minimal supervision
  • Clear and confident communicator who knows when to escalate and when to resolve independently

  • Comfortable navigating digital tools and adapting to new systems
  • Calm under pressure and able to troubleshoot logistical challenges
  • Motivated to learn, grow, and contribute to a high-performing operational team
  • Comfortable working in a high-volume, evolving business transitioning to formalised structures

Location:

London, United Kingdom. Hybrid working model with a minimum of 3 days per week in the London Office. This role may have some event travel.
