We are looking for an Executive Administrative Assistant to join us as we build cutting-edge technology solutions!  This is your opportunity to be part of a team that is committed to delivering best in class service to our customers.

  • In This Role:

    As an Executive Administrative Assistant, you will play a vital role in supporting two high-level General Managers (GMs) within a remote team focused on customer success and security solutions. You will act as the operational backbone for these executives—managing complex calendars, coordinating travel, tracking team projects, and executing administrative duties with a high level of confidentiality, professionalism, and efficiency. This role offers valuable exposure to senior leadership and the chance to contribute to a high-priority, fast-moving business area.


    Key Responsibilities:

    • Manage and coordinate complex calendars for two GMs, including scheduling meetings across time zones.

    • Book domestic and occasional international travel (approximately once per quarter), including flights, accommodations, and transportation.

    • Process expense reports and ensure timely reimbursement submissions.

    • Track and support various meetings, projects, and initiatives—using tools such as Excel to maintain documentation and reporting systems.

    • Create and maintain purchase orders (POs) and assist with vendor coordination as needed.

    • Join key team meetings, take detailed notes, and distribute post-meeting summaries.

    • Support team engagement initiatives and occasional remote events.

    • Perform general administrative duties such as preparing reports, handling correspondence, ordering supplies, and maintaining digital records.

    • Help drive team efficiency by proactively identifying and solving workflow or scheduling challenges.


    Required Qualifications:

    • 5–7 years of experience in administrative or executive support roles.

    • 3+ years of experience with calendaring and executive-level scheduling.

    • 1–2 years of experience booking complex domestic and international travel.

    • 2+ years supporting senior leadership at the GM or VP level.

    • High school diploma or GED required.

    • Strong written and verbal communication skills.

    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

    • High attention to detail, organizational strength, and ability to multitask in a dynamic environment.

    • Ability to work independently and maintain strict confidentiality.


    Preferred Qualifications:

    • Experience supporting executives in a remote or distributed work environment.

    • Familiarity with creating and tracking purchase orders (POs).

    • Intermediate Excel skills (data tracking, formatting, and light reporting).

    • Experience supporting team events or engagement activities.

    • Proven ability to handle multiple priorities with grace under pressure.

    • Strong sense of ownership and proactive problem-solving capabilities.

Salary Range

Pay ranges vary based on multiple factors including, without limitation, skill sets, education, responsibilities, experience, and geographical market. The pay range for this position reflects geographic-based ranges for Washington state: $30.85 to $36.06 USD/hour. The final salary/wage and job title for this opening will be based on the selected candidate’s qualifications and experience and may fall outside this range.
