The Office Manager provides administrative and budget support to the Assistant Dean for the Office of Student Conduct, maintains accurate and compliant internal student records, oversees the records request process, and serves campus partners including students, faculty, and staff with professionalism and sensitivity. This position is a highly confidential assignment requiring the utmost respect and privacy.

The ideal candidate will demonstrate ability and initiative to manage the Student Conduct team, multiple projects, and timelines efficiently; attention to detail, strong listening skills and a commitment to maintaining consistent processes; and the ability to communicate and collaborate with campus partners. 

Responsibilities include: 

  • Assist in the maintenance of department email accounts and respond to routine inquiries
  • Schedule, coordinate, and support meetings, training programs, and professional development activities
  • Analyze, audit, review, verify, and correct disciplinary records to maintain accuracy and FERPA compliance
  • Monitor the completion of sanctions and assess overdue conduct matters 
  • Manage academic holds based on established protocols and procedures
  • Verify authenticity and comply with internal and external information requests including Dean Certifications, Right to Know Data requests, and subpoenas
  • Monitor budget allowances for the Office of Student Conduct and reconcile financial activity 
  • Oversee student payroll
  • Coordinate timely submission of requested departmental reports
  • Prepare updated versions of the Student Code of Conduct, training manuals, and all documents for printing and/or publication
  • Other duties as assigned

Position Duties

  • Bachelor’s degree 
  • Two years of professional experience in education, law, healthcare, or a related field
  • Demonstrated proficiency with Microsoft Office Suite

Minimum Qualifications

  • Excellent written communication skills
  • Experience in an administrative support role
  • Demonstrated experience utilizing Microsoft Office Suite to manage calendars, reports, and presentations
  • Demonstrated experience in data tracking and analysis
  • Experience supporting budget management
  • Knowledge of compliance reporting such as FERPA (Family Educational Rights and Privacy Act), and/or local and federal regulations regarding higher education records and privacy
  • Experience with higher education systems such as Banner, Source Point, SAP and BI
