Job Summary
We are seeking a highly organized and proactive Office Manager to oversee the day-to-day operations of our office. The successful candidate will ensure the smooth running of administrative processes, support staff and management, and contribute to a positive and productive work environment.
Key Responsibilities
- Manage office supplies, equipment, and inventory, ensuring cost-effective procurement.
- Oversee maintenance and cleanliness of the office space.
- Coordinate with vendors, service providers, and building management.
- Support HR and finance teams with administrative tasks such as onboarding, timesheets, and expense reports.
- Organize meetings, events, and travel arrangements.
- Maintain office policies and procedures, updating as necessary.
- Supervise administrative staff and delegate tasks appropriately.
- Ensure compliance with health and safety regulations.
- Handle incoming communications and correspondence.
- Invoice Management
Qualifications & Experience
- Proven experience in office management, administration, or a similar role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- Proficiency in Microsoft Office Suite and office management software.
- Ability to lead and motivate a team.
- Ability to speak German is essential
- Knowledge of basic HR and finance procedures would be desirable although not essential
