Experience:
- Required: Three years' experience as an administrative assistant or similar clerical experience
Function
The Administrative Assistant II-Special Education performs duties of typing, maintaining files, utilizing database systems, process requisitions for instructional materials, supplies, and equipment, answers the telephones and relays the messages, and maintains supervisor and office schedules.
Reports To:
Special Education Coordinator/Senior Director
Responsibilities:
- Uses initiative to accomplish tasks
- Maintains confidentiality
- Accepts and uses constructive criticism to enhance self-development and job performance
- Disseminates, organizes, and implements activities related to the department
- Performs general secretarial duties such as, but not limited to, utilizing computer, answering the telephone, take messages and give information according to approved procedures, schedule appointments, and screen mail
- Type letters, reports, memos, contracts, requisitions, and other necessary documents/requests related to department
- Assists in maintaining supervisor calendar and makes appointments as requested
- Processes travel for coordinator and staff including but not limited to requisitions, professional leave forms, accounting of trip, etc
- Register department staff for workshops or conferences
- Submits work orders for facilities, technology, etc. as needed
- Keeps up-to-date log of absences, processes department payroll, maintains payroll reports for determined amount of time
- Maintains departmental calendar of activities, meetings, trainings, and other department events
- Maintain inventory of department equipment and technology
- Prepares agendas and handouts for staff development and meetings
- Prepares and processes reimbursements (purchases, mileage, etc) for staff
- Serves as liaison between campuses and district departments
- Keeps up to date filing system of requisitions/POs, contracts, travel, correspondence, reports, and other matters pertaining to department
- Assists in scheduling appointments, receives office visitors, and screens telephone calls/mail for coordinator
- Assists in gathering data for reports
- Assists in preparing agendas, handouts, and rosters for meetings and staff development
- Processes and types referral letters for all outside evaluations
- When necessary, assist staff with acquiring a substitute for absences
- When necessary, maintain location/department Activity Fund
- When necessary, monitor stamps for both ARDs and campus use
- When necessary, prepare letters/information to parents
- When necessary, complete preliminary preparation for ESY summer program
- When necessary, complete and submit required reports for fire, shelter in place, or other types of safety drill
- When necessary, process vacancies or recommendations to hire in the District's HR system
- Assists other auxiliary staff as needed and/or time allows
- Performs other duties as assigned

- Ability to perform work while standing and/or walking for extended periods, up to eight (8) hours a day.
- Ability to see detailed information, naturally or with correction.
