Position is temporary with the possibility of conversion to permanent, subject to position clearance and availability of funds. This position will support the operations of the University of Hawaii at Manoa School of Nursing and Dental Hygiene (SONDH) Office of Student Services, and is expected to begin approximately December 2025 or as mutually acceptable. Duties and Responsibilities:

  • ** Manages the day-to-day operations of the Office of Student Services (OSS) Front Desk by serving as the first point of contact for students and visitors, providing them a welcoming and helpful presence, providing general information about the School and the services of OSS, respond phone calls directing student inquiries and concerns to appropriate OSS advisors/coordinators, and handling administrative tasks including but not limited to managing office communications by reviewing and responding to correspondences accordingly and/or refers them to the appropriate OSS advisors or unit/office, telephone management, updating bulletin boards, mail sorting, managing of the offices supplies, and keeping the reception area clean and presentable, among others.
  • ** Organizes and collaborates with OSS advisors/coordinators in scheduling OSS activities; new student orientations, informational sessions, recruitment events, etc., that may occur outside of normal business hours including evenings, weekends and/or holidays.
  • ** Assists in the preparation of recruitment materials to enhance the visibility of the school, targets identified audiences, and increases enrollment.
  • ** Prepares admission/application materials, information brochures, and catalog, and coordinates their distribution. 
  • ** Collaborates with the University Admissions and Records and Financial Aid Offices to provide support in the processing of student admission and progression documents.
  • ** Verifies enrollment and graduation for licensure, employment, certifications to the Board of Nursing and to educational institutions at the instruction of the OSS Director.
  • ** Maintains the individual student records in the student database accurately and up to date.
  • ** Collects and collates student data, student services surveys and information requests, and prepares reports and/or recommendations to the OSS Director.
  • ** Interfaces with campus and systemwide student service departments and offices to maintain effective working relationships and identify best practices in student support services.
  • ** Coordinates in-take of scholarships/grants/internships applications.
  • ** Keeps Director and Admission/Student Affairs committees abreast on trends in servicing students who are inquiring about or attending SONDH programs.
  • ** Implements new process management and services at the direction of the OSS Director. 
  • ** Ensures that student information released is following FERPA and applicable UH policies and procedures.
  • ** Develops and maintains a comprehensive office manual of OSS administration policies and procedures.
  • ** Provides administrative and fiscal support to the Director and to the OSS. 
  • May supervise student assistant/s.
  • Keeps abreast of changes in program, admission, policies, and procedures.
  • Maintains competence in current technologies related to office needs, e.g., MS Office Suite, web-hosted services like Skype, GoToMeeting, Zoom), shared drives, listservs, and other applicable University systems.

Minimum Qualifications:
  1.  Possession of a baccalaureate degree in management, education, or related field and one (1) year(s) of progressively responsible professional experience with responsibilities for student services and/or office management in an academic environment; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  2. Functional knowledge of principles, practices and techniques in the area of student academic services, advising, or counseling demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with higher education.
  4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of student services and/or office management in an academic environment.
  5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. Self-starter with demonstrated ability to learn new operating systems quickly.
  9. Demonstrated ability to be well-organized, multi-task, pay attention to detail, and effectively coordinate projects.
  10. Demonstrated ability to exercise good judgment, professionalism, problem-solving, and communication skills with a high standard of customer service when responding to complex and demanding situations, inquiries, or complaints.
  11. Able to work outside of normal business hours including evenings, weekends and/or holidays.

Desirable Qualifications:
  • Experience in a health professions school in higher education.
  • Working knowledge of UH policies, procedures, and student information systems such as STAR and BANNER.
  • Knowledge and understanding of FERPA regulations.
