Job Description

Job Purpose 

Supports the institutional research enterprise by providing leadership and direction on electronic research management systems (ERMS) deployed to facilitate research operations and promote federal, state, and institutional regulatory compliance. Directs selection, procurement, implementation, and training processes for various systems under the Office of the Vice President for Research. Plans University initiatives related to the overall identification and implementation of ERMS to meet new needs or improve on existing solutions. Serves as institutional reference on specialized systems.

MUSC Minimum Training and Experience Requirements: 

Bachelor’s degree and five years relevant experience in administrative services, public administration or business management.

 

Preferred Training and Experience:

  • Experience in electronic systems development or management with a working knowledge of federal, state, and institutional research regulations and guidelines.

Job Responsibilities: 

35% Collaborate with the OVPR, the AVPR for Institutional Infrastructure, the Associate Director for Shared Resources, and department stakeholders across the enterprise to coordinate the operationalization of research cores in support of MUSC’s Integrated Innovation Institutes (I3). This includes developing new business models for the upcoming common cores that focus on bioinformatics, the “-omics” umbrella, biorepository, imaging, animal studies, and clinical trials. Work with senior leaders across the enterprise to identify high-priority needs within the cores and facilitate new opportunities for shared resource development.

20% Serve as the system administrator for the University Research Resource Facilities (URRF). This position will manage the University’s Core Management System (CMS) software and will serve as the technical interface between the University’s 25+ cores, user labs, core directors, departmental business administrators, and the CMS software developer (currently, Idea-Elan’s Infinity platform). Identify and remedy software and technical issues that prevent ideal data reporting/billing conditions for the cores. Analyze business operations for current and future cores and recommend strategic solutions to optimize billing and reporting processes.

15% Create, analyze, and troubleshoot monthly activity reports to reconcile unpaid invoices and maximize core revenues. Interact with departmental financial staff on issues of users, labs, and FDM verifications in the CMS and WorkDay software. Regularly meet with primary investigators (PIs) and their core directors, lab personnel, department financial stakeholders, as needed to assist with budgets and reports that meet the needs of the institution.

10% Integrate new core facilities into the CMS software as directed by the AVPR for Institutional Infrastructure, the Associate Director for Shared Resources, and the MUSC Cores Committee. Provide education and training to new CMS software users. Participate in Infinity Cores Management meetings and University Cores Directors meetings as requested.

10% Expectations for this position include ensuring all software packages sponsored by the OVPR run efficiently; working with departments across the enterprise to confirm all personnel have appropriate roles in OVPR software packages and in WorkDay; and providing technical assistance to all stakeholders as needed when issues arise. Ensure data integrity and effectiveness of OVPR software programs. Participate in development and implementation of business plans as needed with stakeholders across the enterprise to optimize efficient operations.

5% Serve as liaison between Grants and Contracts Accounting (GCA) and cores directors to ensure a timely review of core service center rate calculations on a biennial basis to confirm compliance with the Office of Management and Budget Uniform Guidance as it pertains to service centers (Section 200.468 Specialized Service Facilities). Assist in tracking shared resource usage metrics and recharge rates.

5% Other projects as assigned as new research software packages are introduced by the OVPR.
