Summary
Coordinates and assists administrators with campus, intra-District, and special conferences, workshops, training, competitions, and events. Develops and maintains participant and subject matter information. Develops and distributes announcements, flyers, registration forms, and other materials that announce and publicize programs. Provides administrative assistance to program leaders.

Distinguishing Career Features
The Special Events Coordinator is a specialized position that is designed to provide logistics, administrative, and communications support for a variety of conferences, workshops, training, and intra-District events and competitions. At this level, incumbents are expected not only to provide a full scope of service before, during, and after the events, but are also required to provide support, logistics coordination, and implementation of specific programs that involve a large number of people. 

Essential Duties and Responsibilities
Specific duties may vary among departments, divisions and jobs. Incumbents typically perform a substantial portion or all of the following kinds of duties, as assigned:
1. Plans, coordinates, implements, and administers large-scale events such as, but not limited to, workshops, conferences, training, recruiting and alumni fairs, and local and regional competitions. 
2. Develops and maintains participant lists. Arranges for sites, speakers, judges, panels, etc. Prepares program schedules. Arranges for media or other participation as deemed appropriate. 
3. Interacts with campus and District-level Administrators on a regular basis to coordinate and provide logistics and hospitality support to activities, events, and training activities. 
4. Provides support to events-in-progress. Arranges for multi-media support, programs, production of materials, evaluations, certificates, supplies, and refreshments. 
5. In competitions, works with judges, event leaders, and panels to select events, criteria, format, and participation rules. 
6. Prepares and maintains lists and pertinent participant and venue information. Accesses the database to produce confirmation letters, fee statements, invoices, billings, other mailings, and registration support. 
7. Participates with marketing and event leaders in developing interest in events. Prepares advertising-quality flyers, announcements, programs, and course catalogs. Coordinates and may prepare design and layout of graphic artwork to support events. 
8. Arranges for and may design certificates used to acknowledge participation and competition results. Arranges for special awards, depending on the nature of the event.
9. Composes a variety of correspondence on original formats such as memos, requisitions, forms, letters, reports, and agendas. 
10. Prepares fee and expense statements to participants and prepares monthly billing statements. 
11. Performs other related duties as assigned that support the objective of the position. 
12. Required to abide by all District policies and procedures including Board Policy 3050 – Code of Professional Ethics.

Position Duties

Knowledge and Skills
1. Requires working knowledge in all aspects of workshop and special event preparation, planning, and coordination from inception to design to implementation and feedback. 
2. Requires special skill at coordinating events for large groups and multiple organizations including competitions that last for multiple days. 
3. Requires in-depth knowledge of and skills in graphic arts, desktop publishing (including the supporting graphics software) and related tools used for producing brochures, flyers, announcements, and catalogs. 
4. Requires a working knowledge of spreadsheet, word processing, and interface programs. 
5. Requires working knowledge of special rules and regulations governing workshops, competitions, and special events. 
6. Requires sufficient problem solving skills to work from an objective and develop action plans for completion of all phases of an assignment. 
7. Requires math skills sufficient to compute sums, quotients, fractions, percentages, and ratios. 
8. Requires knowledge of proper English usage, grammar, spelling, punctuation, and format to prepare professional correspondence. 
9. Requires sufficient human relations skills to facilitate small group processes, coordinate work of others, make announcements to large audiences, and convey a positive image of the District.

1. Requires the ability to perform the essential responsibilities and functions of the position. 
2. Requires the ability to work flexible hours, including evenings and weekends, as 
assigned. 
3. Requires the ability to operate a personal computer terminal, printers, and specialized 
software. 
4. Requires the ability to analyze technical problems and to develop and apply appropriate 
solutions. 
5. Must be able to convert a project objective into a sequenced list of tasks and action plans. 
6. Requires the ability to write correspondence in a professional manner. 
7. Requires the ability to prioritize work in order to meet deadlines and maintain schedules 
in an environment where multiple deadlines are common and sometimes conflicting. 
8. Requires the ability to work effectively as part of internal and external teams devoted to 
customer service.



Physical Abilities
1. The general physical demands, working conditions, and essential job functions associated with this classification will be kept on file with the Office of Human Resources.

Minimum Qualifications: Education, Experience, D.E.I.A 
This position Requires an Associate’s degree with an emphasis on event management, hospitality, or related discipline and three years of experience coordinating and supporting conferences for large groups. Additional relevant experience in event coordination may substitute for some higher education. Or, any combination of education and experience which would provide the required equivalent qualifications for the position
AND
Demonstrated evidence of responsiveness to and understanding of the racial, ethnic, disability, gender identity, sexual orientation, socioeconomic, academic, and cultural diversity within the community college student population, including students with different ability statuses (e.g., physical and/or learning) as these factors relate to the need for equity-minded practice within the classroom and campus. 


Licenses and Certificates
Require a valid driver license.

Working Conditions
Work is performed in an indoor environment with minimal health and safety considerations.


Minimum Qualifications


This is an IN-HOUSE ONLY, regular, full-time, 12 month per year classified position. The normal hours of work are 6:00 a.m. to 2:30 p.m., Monday through Friday. Hours will vary and may include nights and/or weekends in order to meet the needs of the department. The effective date of employment will be arranged with the supervisor.
