This position is eligible for Mid Atlantic Retina's $1,000 Hiring Incentive! The hired candidate will receive $500 after successful completion of 90 days of employment and $500 after successful completion of 1 year of employment! Job Description

The primary responsibility of the Research Administrative Assistant is to assist the Director of Research Operations with administrative and bookkeeping duties. Primary duties include software management, creating and reconciling invoices and assuring clinical trial agreements and payment terms are cohesive between practice and sponsor. This position is responsible for assisting with study acquisition and acts as the liaison between the Ophthalmology Practice and sponsors and vendors.

Essential Functions

  1. Assists with study start-up documentation.
  2. Maintains the filing system for all studies in research, including the most recent Clinical Trial Agreements, sponsor payment records and vendor charges.
  3. Initiates, manages and maintains vendor agreements and fee schedules for protocol specific needs.
  4. Maintains and monitors schedules in Excel format, sets up teleconferences, quarterly conference calls and staff meetings.
  5. Creates and distributes meeting minutes.
  6. Maintains enrollment reports in Excel.
  7. Manages referral emails and distributes appropriately.
  8. Tracks and invoices for all grants.
  9. Maintains the Study Manager database.
  10. Manages the accounts receivable and accounts payable for the research department.
  11. Assists with copies for research agenda and filing for regulatory materials.
  12. Reconciles and maintains lists of research specific approved office items, placing orders as needed.
  13. Answers and triages research calls.
  14. Telephone screening of patients.
  15. Opens and distributes mail to appropriate personnel.
  16. Perform other duties as required and assigned.
  17. Regular and predictable on-site attendance required.
  18. Work overtime as needed.
  19. Travel to other MAR locations as needed.

Required Education and Experience

  • One (1) year of experience in an Administrative Assistant role
