The Scheduling Specialist will ensure the effective management of all behavioral health outpatient referrals to ensure all administrative paperwork is completed to facilitate the process of initiating outpatient services for new clients. The Scheduling Specialist will perform a wide variety of tasks throughout the life cycle of the referral to assure that the process of initiating services is easy and effective for clients.

Essential Duties and Responsibilities:

  • Contacts and schedules intake assessments for potential clients referred by community agencies and Outreach Liaisons.
  • Conduct outreach activities and assist with planning community activities in Miami-Dade as needed.
  • Maintain communication with schools’ personnel, families/caregivers, natural supports, churches, public housing facilities, courts, hospital, and any other referral sources.
  • Responsible for preparing and conducting required trainings for new hires in the scheduling department.
  • Assis wit follow up client compliance
  • Coordinate department meetings under supervision of Social Services Manager.
  • Assist in contacting the patient on a timely basis for all scheduling requirements.
  • Assist in setting up appointments and reschedules as necessary.
  • Assist in creates new Credible profile for new clients and upload referral to client’s chart
  • Ensures client’s demographic information is accurate and up to date in Credible.
  • Assist in confirming completion of intake with therapist, update census and change the client’s status to active.  
  • Assist in maintaining necessary documentation for ongoing operations
  • Communicates with referrals sources to provide updates and follow up as needed.

  • Complete all program reports as needed per Social Services Manager.
  • Responsible for monitoring all referral received and follow-up in a timely manner.
  • Perform other related duties as assigned by Social Services Manager.

Education and/or Experience:

High School diploma or equivalent.
