Position Overview
Philbrook Museum of Art is seeking candidates to fill the position of Associate Registrar. The Associate Registrar is responsible for the proper documentation, care, handling, storage, and movement of artworks in accordance with professional museum standards. The position works collaboratively with curatorial and other collections and exhibitions staff, along with external contractors and lenders, to install exhibitions, execute loans, and manage acquisition and deaccessioning processes and logistics. This position supervises and trains interns and volunteers. The Associate Registrar develops registration budgets, goals, objectives, and priorities in conjunction with the Director of Collections and Exhibitions.
Essential Responsibilities
Exhibitions and Loans:
- Organizes and executes arrangements for loans and traveling exhibitions
- Collaboratively manages installation / deinstallation with Chief Preparator
- Serves as courier as needed
Collections Documentation:
- Manage electronic database (TMS), online collection (eMuseum), and documentary files related to the collection, loans, and exhibitions.
- Ensure accuracy and consistency of all collection-related material, including location tracking for collection and loaned items.
- Assist in Collection Committee meetings, including drafting agendas and minutes.
- Catalog and process collection objects
Collections Care:
- Monitors and participates in the proper care and safekeeping of all art in the Museum’s care
- Coordinates and collaboratively completes tasks related to collecting, accessioning, deaccessioning, borrowing, and lending.
- Frequently inspects, cleans, and maintains artwork in gallery and art storage spaces.
- Organizes insurance documentation, appraisals, and government indemnity application and policies when applicable.
General:
- Build strong relationships across the institution by communicating proactively and maintaining a professional demeanor and positive attitude.
- Maintain prompt and reliable attendance in order to successfully perform the duties of the job.
- Performs other related duties as assigned.
Requirements
Equivalent Education/Experience
- Bachelor's degree in Art History, Humanities, or related field; Master's Degree preferred.
- At least 3-4 years of registration or related experience, ideally in a museum setting.
Knowledge/Skill/Ability
- Excellent attention to detail
- Strong copy-editing skills and an indelible commitment to accuracy
- Intermediate computer skill and proficiency in collections database management (TMS), MS Office Suite, and imaging applications and software
- Knowledge of collections management procedures, fine art registration methods, insurance, and proper art handling policies and procedures
- Exceptional problem-solving skills
- Highly organized, flexible, and collaborative
- Must maintain a valid state driver license
Schedule Information:
Monday through Friday 9:00am - 5:00pm in office
Occasional evenings and weekend hours as needed
This role will start in mid-October
